Job Overview
We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. This role involves managing administrative tasks, providing excellent customer service, and ensuring smooth daily operations. The ideal candidate will have strong computer skills, experience with office management, and the ability to handle multiple responsibilities efficiently. Prior experience with QuickBooks is a plus. Responsibilities
* Answer and direct phone calls, emails and inquired from clients, subcontractors, suppliers.
* Provide administrative support to management, project managers and site supervisors.
* Schedule weekly meeting and update meeting notes.
* Coordinate with suppliers and subcontractors regarding deliveries, schedule and project requirement.
* Assist with invoice collection, document submission and project closeout documentation.
* Support payroll administration by collecting employee timesheet and maintaining records.
* Maintain and track subcontractor information, insurance certificates, WSIB.
* Order and maintain office supplies, and ensure efficient office operations.
* Enter accounting data enteries in the Quickbooks.
* Order construction material, tools and supplies as requested by project managers and site supervisors.
* Arrange equipment rentals and schedule deliveries and pickup.
* Coordinate hotel accommodations, travel arrangements, and transportation for employees working on and out of town projects.
Pay: $20.00-$22.00 per hour
