The Cross Country Canada Group of Companies is growing and actively recruiting a motivated and detail-oriented Service Writer / Administrative Assistant to join our team. Reporting to the Fabrication Branch Manager and the CFO, this role will primarily be focused on service writing for the fabrication division while also supporting the Group as receptionist and perform certain administrative or accounting duties.
The Service Writer plays a key role in supporting the welding and fabrication department by coordinating daily administrative and customer service functions. This position is responsible for managing work order and equipment records, processing invoices, and serving as the primary point of contact for customers.
As Administrative Assistant, this individual will take on the role of lead receptionist, directing calls to the appropriate party or group to ensure customer needs are met. Tasks related to building management, event coordination, or supporting the accounting team may be required from time to time.
Duties and Responsibilities
- Create, maintain, and track repair and fabrication work orders from initiation to completion.
- Review work orders to ensure all labour, materials, and shop supply charges are accurate, properly documented, and billed appropriately.
- Ensure work orders are closed and invoiced promptly and accurately.
- Prepare quotes and estimates for repairs, fabrication projects, and related services.
- Order and coordinate the procurement of supplies, materials, and shop inventory as required.
- Review, verify, and code employee and contractor timesheets.
- Perform general administrative duties including data entry, filing, record management, and document control.
- Provide exceptional customer service and act as the primary liaison between customers and the fabrication team.
- Assist with additional administrative and operational duties as assigned.
- Answer main reception line and direct calls to appropriate parties within the organization.
Qualifications
- Minimum 2-year experience in service writing, administration, parts coordination, or similar role
- Bookkeeping and full cycle accounting experience considered an asset
- Excellent organizational, time management and multitasking abilities
- Experience and proficiency in Microsoft Office application
- Solid understanding of administrative procedures
- Knowledge of Welding/Fabrication Environment is preferred
- Strong communication and customer service skills with a professional and positive attitude
Working Conditions
- Office environment located in Spruce Grove, AB
- Working hours 8:00 to 5:00pm, some overtime may be required as needed
- Flexibility around work hours may be considered for the right candidate
