CUPE, Regular, Full-time
Internal applicants from CUPE Local 3799 will be given priority consideration.
Reporting to the Office Administrator in the Office of Shared Services, you will provide administrative support to Facilities operations.
Responsibilities
Duties include but are not limited to:
- Distributing and receiving access devices, ensuring proper authorization is obtained and deposits processed;
- Providing support to various committees including taking minutes, sending out materials, and arranging meetings;
- Maintaining and managing relevant databases such as TS1000, Enterprise, and TMA Systems for service requests and access issuance;
- Coordinating and processing service requests including producing work orders, expediting and coordinating materials, monitoring operations radio, liaising with maintenance personnel;
- Filing, data entry, invoice tracking, liaising with internal and external contacts, preparing reports, spreadsheets, project documentation, and other administrative support duties;
- Monitoring, reconciling, and authorizing purchases of goods and services using a procurement card;
- Maintaining a computerized office calendar, scheduling appointments, booking trave arrangements; and
- Providing relief coverage for other administrative positions within the department as required.
Qualifications
The successful candidate will possess the following:
- A one-year certificate in office or business administration;
- A minimum of 3 years’ direct related work experience;
- The ability to skillfully deal with phone, in-person requests and emergencies from the University community, external contacts and the public is essential;
- Proficiency in the MS Office Suite (Word, Excel, Outlook, Access), and other database software (i.e. TS1000, TMA);
- A strong customer service focus;
- Excellent organizational and communication skills;
- The demonstrated ability to multitask and prioritize workload in a fast-paced environment; and
- Strong attention to detail, the ability to seek out information, and a high level of accountability is required.
An equivalent combination of education and experience will be considered.
Salary
This position has been classified at a Grade 4. The annual salary range for this position is $51,287.60 to $53,398.80 and the normal starting salary will be $51,287.60.

Normal hours of work will be 8:30am – 4:30pm, Monday through Friday.
