ESSENTIAL DUTIES AND RESPONSIBILITES

Coordinate all travel requirements for Oshawa FireWolves players, coaches, team personnel, and other authorized travellers.

Prepare and distribute detailed itineraries for all team travel, games, practices, events, appearances, and related activities.

Coordinate, administer, and distribute per diem payments to players, coaches, and team personnel.

Book and audit hotel accommodations for all home and away games, practices, training camps, and team events.

Evaluate travel options to ensure an appropriate balance between traveller convenience, operational requirements, and cost efficiency.

Coordinate all required bookings and travel services with the Team’s designated corporate travel provider.

Maintain current knowledge of all applicable Collective Bargaining Agreement rules, League requirements, and Team travel policies.

Administer all aspects of player missed-work compensation, including documentation, approval coordination, and payment processing.

Coordinate the onboarding of new players in collaboration with the General Manager, Finance Officer, and other relevant Team personnel.

Communicate with players regarding the Oshawa FireWolves travel and expense memorandum, reimbursement procedures, deadlines, and documentation requirements.

Develop and deliver training and instructions to players, coaches, and team personnel regarding expense submissions and reimbursement procedures.

Plan, order, and coordinate meals for players, coaches, officials, and authorized personnel during practices, game days, training camps, and special events.

Coordinate with the League to confirm referee and official hotel accommodations and ensure eligible rooms are applied against the Oshawa FireWolves’ complimentary room allocation with the applicable hotel partner.

Maintain accurate travel, accommodation, per diem, meal, expense, and missed-work compensation records for financial reconciliation and reporting.

Perform any other duties reasonably assigned by the CEO or Team President.

Maintain a regular in-office presence and perform the position’s duties from the Oshawa FireWolves office, except when travelling or attending Team-related activities.
