This iconic Montreal hotel features 36 floors, 614 rooms, 13 suites, and 25 meeting rooms. Fully renovated in 2021, the hotel can accommodate events of up to 1,000 guests. Reporting to the Director of Convention and Event Services, the Banquets, Tour & Travel Coordinator will be responsible for coordinating room blocks, particularly for the Tour & Travel segment, as well as assisting the Director of Convention and Event Services with all activities related to group and event management and the department’s overall operations.
Responsibilities
Room Block Management
- Reviews files received from the Sales team.
- Coordinates and follows up on room blocks with clients and the hotel’s various departments.
- Works closely with the various departments and communicates all necessary information through appropriate communication tools, such as convention resumes, banquet event orders, and other relevant documents.
- Welcomes groups upon arrival and ensures availability and presence throughout their events.
- Attends departmental meetings related to forecasting, credit, sales, and event management, as well as other meetings as required.
- Follows up on deposits related to assigned groups.
- Provides the information required for thank-you letters and the allocation of Marriott Bonvoy points.
- Ensures the accuracy of information and keeps group details up to date in the CI/TY system.
- Stays informed about service developments and emerging trends within the industry through various sources, such as the Marriott website, Tourisme Montréal, and other relevant resources.
Convention Services Coordination
- Manages administrative tasks for the Convention and Event Services department.
- Assists the Director of Convention and Event Services with various tasks, including report preparation, follow-ups, and file coordination.
- Supports the Convention Services team in the day-to-day management of its activities.
- Prepares and sends quotes, business proposals, and contracts to prospective clients.
- Maintains in-depth knowledge of our products, services, and the industry to effectively advise clients and respond to their needs.

Experience and Qualifications
- Relevant experience in sales coordination, administration, or an administrative support role. Previous experience in the hospitality industry is considered an asset, but is not required.
- Diploma in Hospitality Management, Business Administration, or a related field is considered an asset.
- Excellent written and verbal communication skills in both French and English.
- Proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
- Knowledge of CI/TY, Social Tables, and PMS/Marsha systems is considered an asset.
- Ability to work effectively as part of a team while demonstrating autonomy and initiative.
Languages
- Bilingualism in French and English, both spoken and written, is required, as the position involves regular interactions with local and international clients.
