Overview
The Systems Access Administrator plays an important role in supporting the security and day-to-day administration of the Etobicoke Humane Society's electronic access systems. Working closely with the HR and IT teams, this volunteer position is responsible for managing user access to the shelter's door entry system and ensuring access permissions remain accurate and up to date.
This role is ideal for someone who is detail-oriented, comfortable working with technology, and enjoys supporting operational processes behind the scenes.
What You'll Do
Access Management
- Process access requests submitted by the HR team for new volunteers, role changes, and volunteer departures.
- Add, update, suspend, or remove users within the shelter's electronic door access system and other assigned platforms.
- Ensure access permissions are assigned accurately and maintained in accordance with approved requests.
Records & System Support
- Maintain accurate records of user access and system updates.
- Conduct periodic reviews of access permissions to ensure records remain current and appropriate.
- Escalate technical issues, discrepancies, or system concerns to the IT team as required.
Collaboration & Communication
- Work closely with HR and IT teams to ensure timely processing of requests.
- Communicate clearly regarding completed requests, outstanding items, or discrepancies.
- Maintain confidentiality of volunteer information and system access data.
Qualifications
- Strong knowledge of Google Workspace (Google Sheets in particular) and remote-access tools
- Comfortable using Windows-based systems (Linux experience is an asset).
- Strong attention to detail and ability to follow established procedures.
- Strong organizational and documentation skills.
- Ability to work independently and manage tasks accurately.
Assets
- Experience with Salesforce or similar CRM platforms.
- Experience administering user accounts or access permissions.
- Experience supporting IT operations, databases, or system administration.
- Previous volunteer or nonprofit experience.
Time Commitment
- Approximately 2 hours per week.
- Flexible scheduling, with occasional time-sensitive requests requiring prompt processing.
