Volvo Cars Hamilton is seeking a highly organized, customer-focused, and versatile automotive professional to join our team as a Parts & Service Advisor.
This hybrid role is ideal for someone who thrives in a fast-paced dealership environment and enjoys working across multiple areas of fixed operations. The successful candidate will support both the Parts and Service Departments while also managing warranty administration, appointment pre-scheduling, and customer satisfaction follow-up initiatives.
Key Responsibilities
Service
- Greet customers professionally and assist with service appointment intake
- Prepare repair orders and communicate recommended services
- Maintain consistent communication with customers regarding vehicle status and timelines
- Coordinate effectively with technicians and internal departments
- Deliver exceptional customer service throughout the ownership experience
Parts Department
- Assist technicians and customers with parts inquiries and orders
- Source, order, receive, and distribute automotive parts and accessories
- Maintain accurate inventory records and organize stock
- Process returns, special orders, and warranty parts
Warranty
- Prepare, submit, and track manufacturer warranty claims accurately and efficiently
- Ensure all warranty documentation complies with manufacturer policies and procedures
- Monitor claim status, rejections, and receivables
- Work closely with technicians and management to ensure proper coding and claim accuracy
Appointment Pre-Scheduling & Retention
- Contact customers proactively to pre-schedule upcoming maintenance and service appointments
- Assist in maintaining service retention initiatives and appointment reminders
CSI (Customer Satisfaction Index)
- Conduct post-service follow-up calls and customer outreach
- Address customer concerns promptly and professionally
- Support dealership CSI goals and customer retention efforts
- Maintain detailed records of customer interactions and resolutions
Qualifications
- Previous dealership experience in service advising, parts, or warranty administration preferred
- Strong understanding of automotive service and parts operations
- Experience with dealership management systems and manufacturer warranty platforms
- Excellent communication, customer service, and conflict-resolution skills
- Strong organizational and multitasking abilities
- Ability to work independently and collaboratively in a team environment
- Attention to detail and accuracy in documentation and administrative tasks
- Valid Ontario driver’s license with a clean driving record
- Volvo or European import experience considered an asset
Schedule
- Full-time position
- Monday to Friday (8:00 - 5:30 with occasional Saturdays as required
Pay: $22.00-$25.00 per hour
