Position Overview
Bagatelle is seeking a highly organized, detail-oriented, and proactive Junior Logistics Coordinator to support the day-to-day management of inbound and outbound logistics operations, with a strong focus on in-transit documentation and follow-up. This role will help coordinate shipments, maintain accurate in-transit files, support U.S. customs-related processes, and communicate with factories, warehouses, freight forwarders, shipping partners, and customs brokers to ensure goods move efficiently and compliantly.
The ideal candidate is early in their logistics, import/export, supply chain, or shipping coordination career and is eager to learn. This person must be comfortable following detailed processes, managing multiple documents and deadlines, and communicating with urgency and accuracy in a fast-paced environment.

Key Goals
· Ensure smooth coordination and follow-up of inbound and outbound shipments.
· Own the organization, tracking, and follow-up of all in-transit documents from shipment departure through delivery.
· Support and monitor U.S. customs clearance and import documentation processes.
· Maintain accurate shipment files, document logs, delivery updates, and internal records.
· Communicate clearly with factories, warehouses, carriers, freight forwarders, shipping partners, and customs brokers.
· Minimize delays by proactively tracking shipments, identifying missing information, and escalating issues quickly.
· Contribute to a more efficient, organized, and reliable logistics function.
Detailed Job Description
In-Transit Documentation
· Maintain, track, and organize all in-transit shipment documents from origin through final delivery.
· Collect, review, and file required documents, including commercial invoices, packing lists, bills of lading, arrival notices, delivery orders, proof of delivery, customs documents, and other shipment-related paperwork.
· Ensure all shipment documents are complete, accurate, clearly labeled, and saved in the appropriate internal folders or systems.
· Follow up with factories, freight forwarders, shipping partners, customs brokers, and warehouses on missing, revised, or delayed documents.
· Update internal shipment and document trackers with key milestones, including ship date, ETA, arrival, customs release, delivery appointment, and final delivery.
· Flag discrepancies between shipping documents, purchase orders, style details, quantities, or delivery information for review and resolution.
· Maintain an organized archive of in-transit documentation to support customs, logistics, accounting, warehouse, and operational follow-up.
Logistics Coordination
· Coordinate inbound and outbound domestic and international shipments under the guidance of the Director of Logistics.
· Monitor shipping schedules, transit timelines, ETA updates, and delivery status.
· Track orders and shipment activity to ensure timely movement of goods.
· Communicate daily with factories, warehouses, freight forwarders, and shipping partners.
· Follow up on shipping delays, routing issues, missing documents, or delivery exceptions.
· Ensure all shipping activity is properly recorded and updated internally.
· U.S. Customs & Import Support
· Support the coordination of U.S. customs clearance for imported goods.
· Prepare, review, and follow up on import documentation to ensure accuracy and compliance.
· Liaise with customs brokers to facilitate timely entry and release of shipments.
· Monitor import-related deadlines and documentation requirements.
· Help resolve customs holds, discrepancies, or clearance issues in a timely manner.
· Maintain organized records related to import activity, duties, shipment status, and entry documentation.
Cross-Functional Communication
· Serve as a support point of contact between factories, warehouses, shipping partners, freight forwarders, and customs brokers.
· Communicate shipment updates, missing document status, delivery timing, and potential issues to internal teams.
· Work closely with Operations, Sales, Customer Service, Accounting, and warehouse teams to ensure alignment.
· Escalate urgent shipping, customs, documentation, or delivery issues that may affect inventory, delivery timing, or customer commitments.
Operational & Administrative Support
· Maintain accurate shipment logs, tracking reports, in-transit document trackers, and logistics records.
· Assist with routing, delivery scheduling, transportation follow-up, and warehouse delivery coordination.
· Support inventory transfers, sample shipments, customer routing requests, and other logistics-related requests as needed.
· Help identify process improvements to strengthen document control, reduce delays, and improve shipment visibility.
· Provide reporting and administrative support related to logistics, import operations, and in-transit activity.
Qualifications – The ideal candidate
· 1-2 years of experience in logistics, import/export, shipping, supply chain coordination, or a related administrative role.
· Exposure to shipping documents, import documentation, freight movement, or in-transit tracking is preferred.
· Strong organizational skills and exceptional attention to detail.
· Ability to manage multiple priorities, documents, and deadlines in a fast-paced environment.
· Strong written and verbal communication skills.
· Problem-solving mindset with strong follow-up and sense of urgency.
· Comfortable communicating with external partners such as freight forwarders, warehouses, customs brokers, and shipping partners.
· Proficiency in Microsoft Office, especially Excel and Outlook.
· Experience with ERP systems, shipping platforms, or logistics tracking tools is a plus.
