Job Overview:
The Project Coordinator supports the Project Manager in the execution of commercial flooring projects. This role is focused on administrative coordination, communication follow-up, document handling, scheduling assistance, and light estimating support. The Project Coordinator ensures smooth project workflows by handling logistical details, supporting the installation and sales teams, and keeping all project-related documentation accurate and up to date.
Key Responsibilities:
Project Support & Coordination
- Assist the Project Manager in day-to-day coordination tasks for active commercial projects.
- Participate in handoff & regular meetings with the estimator or salesperson to capture project details.
- Help track job milestones (e.g., material order dates, delivery confirmations, install dates) using project tracking tools.
- Coordinate with site contacts to confirm site readiness, scheduling preferences, and access requirements.
- Follow up with vendors, subcontractors, and clients as directed by the Project Manager.
Administrative & Documentation Support
- Set up and maintain job folders (digital and/or physical) including proposals, POs, drawings, delivery tickets, signoffs, and insurance documents.
- Collect and submit required compliance documentation such as subcontractor COIs.
- Track delivery status of materials and coordinate paperwork for shipping, receiving, and returns.
- Prepare schedule of values, project invoicing, change orders, punch lists, and project close-out documentation.
- Help compile documents and photos needed for project functions.
Vendor, Client, and Subcontractor Communication
- Send and track purchase orders as instructed by the Project Manager.
- Communicate with vendors to confirm delivery timelines and resolve minor logistical issues.
- Prepare work orders & relay messages between the Project Manager and subcontractors regarding scope clarification or scheduling.
- Maintain organized records of all key communication threads.
Light Estimating Support
- Assist with minor take-offs or scope reviews when needed for small projects, large project change orders or minor quote revisions.
- Review proposals and bid documents to confirm understanding of awarded scope.
- Confirm pricing or availability of materials when requested.
- Help input basic measurements or material quantities into standard estimating tools or Excel templates.

Qualifications & Skills:
- 1–2 years of experience in a project coordination, construction administration, or estimating assistant role.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft 365, take off software (Measure Square) and basic project tracking software
- Familiarity with construction related plans & specifications.
- Familiarity with construction-related documents such as proposals, POs, and COIs.
- Strong written and verbal communication skills.
- Ability to follow instructions and meet deadlines reliably.
Job Type: Full-time
Pay: $50,000.00-$55,000.00 per year
