Clinic Administrator / Front Desk Coordinator — OMNI Health and Rehab
OMNI Health and Rehab in Burlington is looking for an organized, personable, tech-savvy Clinic Administrator to join our growing multidisciplinary healthcare team.
This is an entry-level clinic administration role with the opportunity to grow over time into a larger operations or clinic management position. We are looking for someone who is eager to learn, reliable, proactive, and excited to become an important part of the team long term.
Our clinic runs several active programs across rehab, wellness, and specialty care. The right person will help keep schedules organized, support our clinicians, assist with patient communication, and help create a smooth, welcoming experience for every patient.
About the Role
This role includes front desk reception, appointment scheduling, patient communication, billing support, and helping keep the clinic schedule full and organized.
We are especially looking for someone who does not just wait for tasks to be assigned. The right person will notice schedule gaps, follow up with patients, help promote clinic programs, and support the day-to-day growth of the clinic.
You will also have the opportunity to help with basic marketing tasks, including creating simple social media posts, sharing clinic updates, promoting programs, helping with patient communication campaigns, and supporting local clinic marketing initiatives.
Key Responsibilities
- Greeting patients and creating a warm, professional first impression
- Answering phone calls, emails, and patient inquiries
- Booking, rescheduling, and confirming appointments
- Monitoring the schedule and helping fill openings
- Supporting patient intake for different clinic programs
- Learning HCAI, MVA billing, and insurance-related workflows
- Assisting with payments, direct billing, and administrative follow-up
- Supporting clinicians with day-to-day clinic flow
- Helping create and post simple social media content
- Assisting with clinic marketing campaigns and program promotion
- Keeping patient records and clinic workflows organized
- Taking initiative when problems or opportunities come up

Previous experience in a physiotherapy, chiropractic, massage, medical, or multidisciplinary clinic is a major asset, but not required. We are willing to train the right person if they have the right personality, work ethic, organization, and willingness to learn.
