Position Overview
The Accounts Payable Administrator plays a key role at Velocity Mechanical Inc., supporting the smooth day-to-day operations of the accounting team. They connect management, technicians, clients, and vendors to ensure work runs efficiently and meets company standards. Reporting to the Office Manager and working closely with Operations, the Accounts Payable Administrator helps maintain accuracy, collaboration, and continuous improvement across all activities.
Core Responsibilities
- Deliver expert administrative accounting to managers and field teams, prepare reports, and official correspondence for internal and external use.
- Organize, file, and safeguard both physical and electronic Invoice documentation, including matching of invoices with packing slips, inspection certificates, contract paperwork, and project archives, to ensure compliant record-keeping and easy retrieval.
- Setting up new Suppliers and communicating with suppliers
- Following up with customers, re: invoices with discrepancies
- Maintain and follow-up with internal deadline(s) as per procedures
- Other administrative duties as required
Education and Experience
Minimum 3 years of experience
Qualifications
- Solid bookkeeping foundation and understanding of accounting concepts
- 2+ years of construction trade experience with a minimum of 3+ years of accounting administration experience or related post-secondary education.
· Proven history working with ERP systems and advanced proficiency in Microsoft Office 365, including Excel and OneDrive management.
· Demonstrated ability to handle documentation, compliance, and multi-party communication at a high level.
· Strong collaborative and independent work skills, with excellent organizational, time management, and problem-solving abilities.
· Experience supporting software rollouts, training, or organizational change is considered an asset.
· Knowledge of the Ontario Occupational Health & Safety Act and industry safety/compliance standards highly preferred.
· Exceptional written and verbal professionalism; reliable, punctual, and detail oriented.

Job Types: Full-time, Permanent
Pay: $45,000.00-$60,000.00 per year
