Responsibilities:
Administrative & Front Desk Operations
- Patient Concierge: Greet patients and families, manage the check-in/check-out process, and maintain a welcoming waiting room environment.
- Scheduling Mastery: Coordinate complex recurring appointments for therapy sessions, progress evaluations, and initial assessments.
- First Point of Contact - answer email, faxes and texts from professionally and confidentially through out the day.
- Records Management: Maintain accurate electronic health records (EHR), ensuring all patient intake forms and privacy notices (HIPAA) are up to date.
- Financial Handling: Collecting and submitting session fees, provide itemized receipts, and manage daily payment reconciliations.
Specialized Clinic Support
- Pre-testing: Run optometric pre-test before patients see the Doctor for their initial vision assessments.
- Equipment Maintenance: Sanitize vision therapy tools and the general clinic daily to maintain a high standard of hygiene for the whole clinic.
- Medical Liaison: Handle incoming and outgoing referrals, ensuring all necessary reports are sent to the correct providers.
- Assisting with Optical Orders: Our clinic offers a small optical gallery for our patients. This role would be cross trained in selling glasses and lenses with oversight from the Clinic Manager.
Insurance & Billing
- Verification & Authorization: Confirm insurance authorizations for motor vehicle accident patients.
- Claim Tracking: Oversee our insurance patients by managing their files and approvals.
- Communicate with Insurance Companies: Clearly communicate with insurance providers via phone/email/fax.
Communication & Outreach
- Patient Education: Clearly explain the difference between a "standard eye exam" and "vision therapy" to inquiring new patients.
- Follow-up Care: Conduct "check-in" calls for patients who have missed sessions to ensure they stay on track with their treatment plan.
Requirements:
- High school diploma or equivalent; additional certification or training as an Optometrist Assistant or Office Assistant is a plus.
- Strong administrative and multitasking skills, while still maintaining quality work.
- Detail-oriented with excellent organizational skills.
- Previous experience in a healthcare, vision therapy, physiotherapy, occupational therapy or customer service role preferred.
- Knowledge of eyecare terminology and procedures is beneficial.
- Strong interpersonal skills and ability to communicate effectively with patients and team members.

Pay: $19.00-$23.00 per hour
