Salary range (but not limited to):
59,300 - 72,500
Incentive plan
Annual bonus: 7.5% target, based on the base salary, with a potential payout of up to 200% (subject to personal and company performance)

Salary for the candidate will be determined taking into consideration a number of factors including: experience, skills, qualifications, anticipated contribution to role, internal equity, location etc. The salary range presented below is based on a 35-hour workweek and would represent a majority of different candidate profiles. About the role
We are seeking a highly organized and proactive IT Project Coordinator to join our Broker Technology Support Team (BTS) .
The IT Project Coordinator will work closely with project managers, technical teams, business stakeholders, and vendors to coordinate project activities, maintain project documentation, track progress, and ensure project deliverables are completed on time and within scope.
This role is ideal for an individual who thrives in a fast-paced environment, enjoys managing multiple priorities, and has a strong interest in technology and project delivery.
What you will be doing:
Project Documentation
- Maintain project plans, schedules, and status reports.
- Ensure technical documentation, including system updates, process documentation, SOPs, and user guides, is accurate, current, and accessible.
Meeting & Communication Coordination
- Schedule project meetings and workshops with stakeholders.
- Prepare meeting agendas, document meeting minutes, and distribute follow-up communications.
- Track and monitor action items to ensure timely completion.
- Facilitate communication between cross-functional teams to maintain alignment on project objectives and timelines.
Progress Tracking & Reporting
- Monitor project milestones, deliverables, and dependencies (ie Broker Management System upgrades, and audit related responsibilities)
- Update project status reports and dashboards for leadership and IT stakeholders.
- Track project metrics and provide regular visibility into project health, risks, and progress.
Assist with the preparation of executive and stakeholder presentations.

Resource Coordination
- Coordinate IT resource schedules and project activities.
- Support vendor engagement activities, including scheduling, documentation, and communication.
- Help ensure project resources are allocated effectively across competing priorities.
Risk & Issue Management
- Identify potential bottlenecks and risks within project work plans.
- Track project issues, system performance concerns, and identified vulnerabilities.
- Escalate risks and issues appropriately while maintaining risk and issue logs.
- Support mitigation planning and follow-up activities.
Process Improvement
- Recommend and implement improvements to project coordination processes and reporting practices.
- Support the continuous improvement of project management standards, templates, and methodologies.
What you bring to the table:
- Bachelor's Degree or Technical Diploma in Information Technology, Computer Science, Business Administration, or related field
- 2–4 years of experience in project coordination, project administration, or a related technology support role.
- Experience supporting technology, application, or business transformation projects.
- Familiarity with project management methodologies such as Agile, Waterfall, or Hybrid approaches.
- Familiarity with Software Development Life Cycle (SDLC)
- Experience with audit tasks and documentation
- Experience with Broker Management Systems (ie Applied Epic, ARS) is an asset
- Experience with audit tasks and timelines is an asset
- Proficiency with Microsoft 365 applications, including Excel, PowerPoint, Word, Teams, and SharePoint.
- Exceptional organizational and multitasking abilities.
- Strong analytical and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to work effectively in fast-paced, evolving, and sometimes ambiguous environments.
- Strong attention to detail, commitment to quality, and communication skills
- Ability to build relationships and collaborate across technical and business teams.
- Insurance industry experience, RIBO/AIC, CIP/CAIB or ITIL General is an asset
- CAPM, PMP, or other project management certifications. is an asset
