Position Summary
The Blackburn Community Association is seeking a dependable, organized, and detail-oriented Administrative Assistant to support the daily operations of the Association. This role focuses on maintaining an organized and functional office environment, providing general administrative support, coordinating with contractors and visitors, and assisting with basic office and facility upkeep.
The successful candidate will be proactive, able to work independently, and comfortable handling a variety of tasks in a small office setting while supporting the Lead Administrator.
Key Responsibilities
Office Administration
- Maintain a clean, organized, and professional office environment.
- Perform filing, scanning, and general document organization.
- Receive, sort, and distribute mail, deliveries, and packages.
- Monitor and restock office supplies; report purchasing needs to the Lead Administrator.
- Assist with basic data entry and record-keeping.
- Support general administrative tasks as required.
Facility & Visitor Coordination
- Welcome and assist contractors, inspectors, maintenance staff, and other scheduled visitors.
- Ensure appropriate access to facilities for service appointments and inspections.
- Communicate maintenance issues or concerns to the Lead Administrator.
Office Cleaning & Maintenance
- Maintain cleanliness of office and boardroom spaces, including:
- Vacuuming and general floor care
- Dusting surfaces
- Cleaning doors, walls, and high-touch areas
- Keeping shared spaces tidy and presentable
- Ensure meeting and common areas are organized and ready for use.
General Administrative Support
- Assist with scheduling and coordination of appointments as needed.
- Support communication between the Lead Administrator, Board members, and external contacts.
- Help ensure smooth day-to-day office operations.
- Carry out other related administrative duties as assigned.
Qualifications
- Strong organizational and time-management skills.
- Ability to work independently with minimal supervision.
- Clear communication skills, both written and verbal.
- Basic computer skills (Microsoft Office, email, and document management systems).
- Experience in an administrative or office support role is an asset.
- Experience in a non-profit, community organization, or small office environment is an advantage.
- Friendly, professional, and reliable attitude.
Working Conditions
- Part-time role averaging 10 hours per week.
- Flexible schedule within standard office hours (8:30 AM – 5:00 PM).
- Office-based position with occasional interaction with contractors, visitors, and community partners.
- May require light physical activity such as cleaning, organizing, and lifting office supplies.
Pay: $20.00-$22.00 per hour
