The role
The Director, Finance & Administration is the organization's senior financial and operational leader, accountable for the integrity of the numbers and the smooth running of the back office. You will own finance and accounting operations end to end, lead financial planning and analysis in support of executive and Board decision-making, and oversee the administration and human-resources functions.
This is a hands-on position for a proactive leader who takes pride in their role, works independently and collaboratively as needed. You will establish a strong documented process with sound controls, and build resilience into every function, with no single point of failure.
Key responsibilities
Finance & accounting operations
- Serve as the primary interface with the external bookkeeping firm; provide complete financial records and resolve adjustments.
- Own the month-end close and ensure accurate revenue, expense, and accrual treatment.
- Produce monthly financial statements, year-end working papers and liaison with the external accountants.
- Own procurement, expense and corporate credit card management, providing support to budget holders.
- Oversee invoicing, accounts receivable, and collections; maintain healthy AR performance.
- Maintain a clean, documented control environment with appropriate backup authority on every critical process.
- Manage all banking operations, including accounts, transfers, and signing-authority administration, within a segregated-duty control framework.
- Oversee cash and investment management, including operating-versus-investment allocation, within Board-approved policy.
- As required implement or manage software that supports internal finance and administrative processes.
Contract Lifecycle Management
- Support the CEO with annual re-contracting with enterprise customers.
- Lead costing, pricing, execution, change order management, and monitoring of contract deliverables for specific enterprise customer requests, following requirements gathering and estimation from technical and customer team members.
Financial planning & analysis (FP&A)
- Lead the annual budgeting process and build rolling forecasts across the organization.
- Develop and maintain financial models to support pricing, investment, cash flow management, and resourcing decisions.
- Deliver monthly management reporting with clear variance analysis and actionable commentary.
- Track KPIs and unit economics; provide decision support and scenario analysis to the CEO and leadership.
- Prepare the financial and risk sections of the Board package and support the CEO in Board reporting.
Administration, governance & risk
- Manage insurance including renewals and claims.
- Maintain corporate records: minute books, registers, and board resolutions.
- Coordinate regulatory, tax, and corporate-registry filings, and maintain a forward calendar of statutory deadlines.
- Administer access control and records management across financial, HR, and operational systems.
- Oversee office and facilities matters, including lease and landlord relations.
Human resources
- Serve as a professional first point of contact for staff HR matters, escalating substantive issues transparently.
- Manage payroll, remittances, benefits/health plans and time tracking.
- Support performance and annual review and compensation processes.
- Evaluate associated programs utilized (payroll, benefit programs, time tracking) and make recommendations.

Required
- A CPA designation, or an equivalent combination of education and senior finance experience.
- 8+ years of progressive finance experience, including full-cycle accounting (banking, close, budgeting, reporting).
- Comprehensive cost accounting expertise—spanning variance analysis, standard costing, and rigorous financial reporting. You drive operational efficiency and cost control across all facets of the business operations.
- Demonstrated FP&A capability — budgeting, forecasting, modeling, and decision-support reporting.
- Experience running or overseeing HR and administrative functions.
- Strong command of internal controls, segregation of duties, and financial governance.
- Sound judgment, discretion, and integrity with confidential financial and personnel information.
Preferred
- Familiarity with not-for-profit or society governance and reporting requirements.
- Experience in a lean organization, setting up process rather than only supervising it.
- Experience administering benefits/RRSP programs and liaising with brokers.
