Job Summary
UMC High School is seeking a highly organized and proactive Homestay & Residence Coordinator to oversee the daily operations, student placements, and quality control of our student residential housing. Guided by our mission to connect the world with commitment and compassion, this role ensures a safe, clean, and welcoming environment for our diverse student body.
The ideal candidate will balance rigorous administrative maintenance (occupancy logs, correspondence, and security checks) with compassionate, firm student management and vendor coordination.
Responsibilities:
Residence Operations & Student Management
- Placements & Logistics: Coordinate student residence placements, manage move-ins, move-outs, room changes, and residence extensions. Formally issue Residence Confirmation Letters.
- Occupancy Tracking: Maintain and update daily residence occupancy logs and accurately document all overnight leave notifications and student status changes.
- Stakeholder Communication: Monitor daily operations and seamlessly communicate updates with residence supervisors, school administration, and internal staff.
- Facility Maintenance: Conduct regular inspections to ensure compliance with safety, hygiene, and cleanliness standards. Identify maintenance issues, initiate work orders, coordinate with vendors, verify completed work, and update affected students and staff.
Student Relations & Discipline
- Policy Compliance: Maintain, update, and clearly communicate residence rules, procedures, and operational guidelines to staff and students.
- Conflict & Misconduct: Conduct student meetings regarding residence infractions, issue formal warning letters, maintain meticulous disciplinary records, and report incidents promptly to school administration and assigned marketing representatives.
Residence Monitoring & Quality Control Inspections & Feedback
- Conduct scheduled, comprehensive residence inspections and stringently follow up on required corrective actions.
- Administer residence satisfaction surveys, analyze feedback, and report findings to drive continuous operational improvement.
Food Service Oversight
- Monitor meal service quality, menu implementation, and food storage practices.
- Review weekly inventory lists and meal photo submissions, following up directly with kitchen staff regarding operational standards, food safety, and compliance issues.
Security & Planning
- Security Monitoring: Conduct regular, systematic reviews of residence security systems (including a comprehensive CCTV review at least once per week) to proactively detect, investigate, and handle policy violations.
- Inventory & Forecasting: Monitor real-time residence availability and provide immediate updates to marketing staff for proactive placement planning.
Qualifications & Skills
- Experience: 1–3 years of experience in student housing, hospitality coordination, property management, or school administration.
- Communication: Exceptional written and verbal communication skills; ability to handle student disciplinary matters with empathy, firmness, and professionalism.
- Organization: Meticulous attention to detail with the ability to manage real-time data entry (occupancy logs, records, and spreadsheets).
- Problem-Solving: Strong conflict-resolution skills and a proactive approach to facility maintenance and safety issues.
- Technical Skills: Proficiency with MS Office/Google Workspace. Experience working with CCTV systems or student management databases is an asset.
