Executive Assistant
Reports To: Founder and Principal
Job Location: Stratford, London, Sarnia (In Person)
Position Overview
We are seeking a highly organized, dependable, and proactive Executive Assistant to provide comprehensive administrative, business, and personal support to the Company Principal. This is a dynamic and varied role requiring a high level of discretion, sound judgment, flexibility, and the ability to effectively manage multiple priorities.
The Executive Assistant will act as a trusted support person, helping coordinate day-to-day activities, manage schedules and logistics, and reduce administrative workload. The successful candidate will be comfortable supporting both professional and personal responsibilities and will have the ability to anticipate needs, take initiative, and ensure tasks are completed efficiently and accurately.
Key Responsibilities
Executive, Business & Administrative Support
- Provide comprehensive administrative and organizational support to the Executive.
- Manage select emails, text communications, and general correspondence, with appropriate training and direction provided.
- Coordinate meetings, appointments, and important deadlines.
- Assist with administrative tasks, follow-ups, document organization, and general business coordination.
- Track outstanding tasks and commitments and proactively follow up to ensure timely completion.
- Liaise with internal and external contacts, professional service providers, and other stakeholders as required.
- Handle sensitive and confidential business and personal information with the highest level of discretion.
Calendar & Schedule Management
- Manage and coordinate personal and business calendars.
- Prepare daily and weekly schedules, reminders, priorities, and upcoming commitments.
- Schedule and coordinate business meetings, professional appointments, and personal services.
- Coordinate children's activities, camps, sports, extracurricular commitments, and other family scheduling requirements.
- Assist with family logistics and maintain awareness of important dates, events, and deadlines.
- Identify scheduling conflicts and proactively recommend solutions.
Personal Assistance & Lifestyle Management
- Coordinate and complete personal errands, including gift purchases, banking-related tasks, visits to lawyers or other professional service providers, and general administrative errands.
- Manage vehicle servicing, maintenance appointments, and related coordination.
- Organize deliveries, returns, household purchases, and other personal logistics.
- Assist with the setup, organization, and coordination of electronics and technology and provide basic troubleshooting support.
- Make restaurant reservations and coordinate personal appointments.
- Assist with planning and coordinating family gatherings, social events, special occasions, and other personal commitments.
Travel & Event Coordination
- Plan and coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and detailed itineraries.
- Coordinate conferences, courses, speaking engagements, business trips, and related logistics.
- Prepare and organize travel schedules, confirmations, and relevant documentation.
- Assist with the planning and coordination of both personal and professional events.
- Proactively manage changes to travel plans and scheduling arrangements as required.
Airbnb & Property Support
- Assist with the administration and coordination of Airbnb accounts and properties.
- Coordinate cleaning schedules, property turnovers, and related service providers.
- Respond to guest inquiries and assist with booking requests and communications.
- Coordinate property-related maintenance and operational requirements.
- Help ensure properties are organized, maintained, and operating smoothly.
- Follow up with vendors, cleaners, and other service providers as required.
Qualifications & Experience
- Previous experience as an Executive Assistant, Personal Assistant, Administrative Assistant, or in a similar support role is preferred.
- Demonstrated experience managing calendars, schedules, appointments, and competing priorities.
- Strong organizational and time-management skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Strong computer and technology skills, including proficiency with Microsoft Office and digital communication and scheduling tools.
- Ability to learn new systems and technology quickly.
- Experience coordinating travel, events, or property-related activities is considered an asset.
- A valid driver's licence and reliable access to transportation may be required to complete errands and other responsibilities associated with the position.

Pay: $60,000.00-$65,000.00 per year
