Position Overview
We are seeking a hands-on, organized, and proactive Property & Facilities Manager to oversee the maintenance, repairs, improvements, and day-to-day facility operations of our portfolio of corporate-owned and leased properties.
The property portfolio includes 30+ dental offices, commercial spaces, and short-term rental properties. The Property & Facilities Manager will be responsible for ensuring all locations remain safe, functional, clean, and well maintained while minimizing operational downtime and effectively managing maintenance and repair costs.
This is a highly mobile and hands-on position requiring regular travel between locations. The successful candidate will be comfortable identifying facility issues, completing minor repairs and maintenance independently, coordinating qualified contractors for larger projects, and proactively addressing concerns before they become significant operational problems.
Key Responsibilities
Property & Facilities Management
- Oversee the ongoing maintenance and general condition of 30+ dental offices, corporate properties, commercial spaces, and short-term rental properties.
- Conduct regular site inspections to assess the condition, safety, and functionality of each location.
- Proactively identify maintenance concerns and address issues before they develop into significant repairs or operational disruptions.
- Develop and maintain facility condition reports and maintenance records for each property.
- Coordinate repair requests, service calls, and maintenance activities.
- Track outstanding repairs, required actions, and completion timelines.
- Respond to urgent facility and maintenance concerns in a timely manner.
- Work closely with operational teams to schedule maintenance and repairs while minimizing disruption to business operations.
- Ensure properties are maintained to appropriate safety, cleanliness, and operational standards.
Hands-On Maintenance & Repairs
Perform minor repairs and general maintenance internally where appropriate, including but not limited to:
- Door adjustments and minor door repairs.
- Drywall repairs and patching.
- Painting and general touch-ups.
- Replacing fixtures and hardware.
- Minor plumbing repairs.
- Changing locks, handles, and door hardware.
- Furniture assembly and installation.
- Replacing and repairing ceiling tiles.
- Minor flooring repairs.
- Lighting and bulb replacements.
- General wear and tear repairs.
- Other basic property maintenance and repair tasks as required.
- Assess maintenance concerns and determine whether work can be completed internally or requires a qualified contractor or specialized service provider.
Preventative Maintenance Program
- Develop, implement, and manage a comprehensive preventative maintenance program for all properties.
- Create and maintain preventative maintenance schedules and service reminders.
- Track scheduled inspections, servicing requirements, and maintenance completion.
- Coordinate preventative maintenance activities, including:
- HVAC servicing.
- Plumbing inspections.
- Water shut-off and seasonal property checks.
- Fire extinguisher inspections and servicing.
- Emergency lighting checks.
- Generator maintenance, where applicable.
- Roof inspections.
- Parking lot maintenance and repairs.
- Landscaping services and schedules.
- Snow removal contracts and services.
- Maintain accurate records of preventative maintenance activities and upcoming service requirements.
- Identify recurring maintenance concerns and recommend practical long-term solutions.
- The primary objective of the preventative maintenance program is to reduce emergency repairs, unexpected costs, and operational downtime.
Contractor & Vendor Coordination
- Identify and coordinate qualified contractors and service providers for specialized or major repairs.
- Obtain quotes and estimates for maintenance and repair projects as required.
- Review the scope of work and coordinate contractor access to company properties.
- Monitor contractor work and follow up to ensure projects are completed appropriately and within agreed timelines.
- Maintain relationships with contractors, trades, and service providers.
- Track vendor performance and identify opportunities to improve service quality and control costs.
- Review repair recommendations and escalate significant property concerns to management.
Property Improvements & Projects
- Assist with property improvement, renovation, and facility upgrade projects.
- Coordinate minor renovation and repair projects across company locations.
- Assist with furniture, fixtures, and equipment installation and relocation.
- Support new location openings, office moves, and facility transitions as required.
- Monitor project timelines and coordinate vendors and internal stakeholders.
- Identify opportunities to improve the functionality, appearance, and efficiency of company properties.
Short-Term Rental & Corporate Property Support
- Assist with the maintenance and operational requirements of short-term rental and corporate properties.
- Coordinate repairs, cleaning, property turnovers, and maintenance services as required.
- Conduct property inspections and identify maintenance or repair requirements.
- Coordinate vendors and service providers to ensure properties remain functional and well maintained.
- Respond to urgent property-related concerns when required.
Qualifications & Experience
- Previous experience in property maintenance, facilities management, building maintenance, construction, or a related field is preferred.
- Strong general maintenance and repair skills.
- Comfortable completing minor repairs and hands-on maintenance work independently.
- General knowledge of building systems, including HVAC, plumbing, electrical, and general facility operations.
- Experience coordinating contractors, trades, and service providers is considered an asset.
- Strong organizational and time-management skills.
- Ability to manage maintenance requirements across multiple locations.
- Basic computer skills and the ability to maintain digital maintenance records, schedules, and reports.
- Valid driver's licence and a clean driving record are required.
- Must be willing and able to travel regularly between company locations.
- Personal ownership and use of basic tools is preferred.

Pay: $60,000.00-$65,000.00 per year
