Krown London South is looking for a professional, organized, and customer-focused
Automotive Office & Shop Coordinator to liaison administration between our office and shop now through December 19, 2026. This position has a strong potential of going full-time after December. This position plays a key role in customer service, seasonal hiring, operational coordination, and workplace safety. The successful candidate will be detail-oriented, dependable, and comfortable managing a variety of responsibilities in a fast-paced environment.
Current Hours - Monday - Friday 7:45 am - 4:45 pm
Starting September 1, 2026 - Monday - Friday 7:45 am - 4:45 pm and Saturday's 7 am - 12 noon. There will be over-time after 44 hours.
Core Responsibilities:
- Oversee day-to-day office and shop administration to support efficient and accurate operations.
- Coordinate customer warranty claims and repairs with Krown Head Office, ensuring procedures are completed accurately and in a timely manner.
- Manage accounts receivable by issuing statements, monitoring outstanding balances, and following up with customers and fleet accounts regarding payments.
- Monitor office and shop inventory, track supplies and products, and coordinate product orders through Head Office.
- Maintain accurate records for fleet accounts and product customers.
- Support marketing initiatives by coordinating social media activity, the Krown Reminder Program, and monthly promotional plans.
Seasonal Hiring, Onboarding and Training:
- Lead seasonal recruitment efforts by identifying staffing needs and peak periods requiring additional support.
- Post jobs on Indeed, community boards, Facebook, and Instagram.
- Screen applicants, conduct interviews, and verify licensing requirements where applicable.
- Prepare hiring letters and coordinate onboarding activities for new employees.
Front Desk:
- Provide professional front-desk and customer service support by greeting customers, explaining the Krown application process, and managing expectations during peak seasonal periods.
- Address customer concerns and service escalations in a professional and solution-focused manner.
- Answer phones, schedule appointments, prepare invoices, and process payments accurately and efficiently.
Health & Safety:
- Promote and ensure in workplace safety, environmentally sound and healthy behaviors and objectives at all times in support of Krown’s Health and Safety Policy/ Programs and best practices
- Creating and maintaining Health & safety procedures and policies
- Administrator in conjunction with owners Workplace Safety and Insurance Board (WSIB) claims and support early and safe return-to-work programs in accordance with company and regulatory requirements.
Qualifications:
- Strong organizational, administrative, and time-management skills.
- Excellent customer service and communication abilities.
- Ability to manage multiple priorities and problem solve in a fast-paced environment.
- Recruitment, hiring, or onboarding experience is must.
- Comfortable using social media and online job posting platforms.
- Professional, dependable, and detail-oriented.
Requirements
- Diploma/Certificate: Post-secondary diploma or certificate in business administration, office management, or a related field combined with a minimum of 2–3 years of experience in customer service, recruitment, onboarding, and office administration/management.
- Exceptional interpersonal skills; ability to build instant rapport with customers and staff.
- Strong time management and the ability to solve problems on the fly.
- Licensing: MUST have a FULL "G" license.
- Availability: MUST be available for Saturday mornings (7 am - 12 noon) from September to mid December
