The Organization: Shalom Manor & Gardens is a faith-based, non-profit organization that is home to 144 residents living in long-term care (Shalom Manor) and 36 assisted living suites (Shalom Gardens). Our vision is to provide a Christ-centered journey in a loving community.
Shalom Manor was founded in the 1970s and has faithfully served seniors within the Reformed Christian community since. Recognizing the need for expanded services in the province, we are currently building a second site in Hamilton, Ontario – Faithstone Manor & Gardens – with an expected opening in 2027.
The Opportunity: Reporting to the Advancement Director, the Advancement Coordinator plays an integral role in supporting the organization’s fundraising, communications and donor engagement efforts. Through exceptional organization, thoughtful communication and meticulous attention to detail, you will help strengthen relationships with donors, churches, volunteers and community partners who make our mission and expansion efforts possible.
This is a dynamic role that blends administration, communications, donor stewardship and project coordination. From assisting with fundraising campaigns and managing the donor database to coordinating events and creating meaningful donor communications, you will help ensure every interaction reflects the care, excellence and Christian values that define our organization.
As the Advancement Coordinator, you will:
· Support the planning and execution of annual giving campaigns, donor stewardship initiatives and community engagement activities.
· Prepare and distribute print and digital communications, including newsletters, direct mail, social media content and promotional materials.
· Maintain the integrity of the donor database by managing records, processing charitable receipts and preparing fundraising and engagement reports.
· Coordinate donor acknowledgements, tribute giving and stewardship activities that recognize and celebrate the generosity of our supporters.
· Research prospective donors and grant opportunities while maintaining accurate tracking systems and supporting cultivation activities.
· Provide administrative support to the Advancement Director, including scheduling meetings, preparing agendas, coordinating committee activities and recording meeting minutes.
· Assist with the planning and delivery of fundraising events, donor gatherings and public presentations.
· Promote and integrate Shalom's Christian mission, vision and values.
Who You Are: You bring-
· A post-secondary diploma or degree in Communications, Marketing, Public Relations, Business Administration or a related field, or an equivalent combination of education and experience.
· Two to four years of experience in administrative support, fundraising, donor relations, communications or marketing, preferably within a non-profit or charitable organization.
· Experience working with donor management software and strong proficiency with Microsoft Office 365.
· Working knowledge of communications and design platforms such as Canva. Experience with Adobe Illustrator or InDesign is considered an asset.
· Exceptional organizational skills with the ability to manage multiple projects and competing priorities while maintaining a high degree of accuracy.
· Strong written and verbal communication skills, with the ability to create engaging content and communicate professionally with a wide range of audiences.
· A collaborative, service-oriented approach and a genuine passion for building meaningful relationships.
· Ability to provide a vulnerable sector police check within the last 6 months, and proof of TB testing completed within the last 12 months

The Offer: This position includes-
· Hourly wage starting from $30.00/hour
· 3 days/week, 8AM-4PM
· Minimum 6 month contract
· Paid time off, including vacation, sick time and float days
