Job Summary:
We are seeking a detail-oriented and organized Property Bookkeeper to manage the day-to-day financial records and accounting activities for our property portfolio. The successful candidate will be responsible for maintaining accurate financial records, processing transactions, reconciling accounts, preparing financial reports, and supporting property management operations. This role requires strong accounting knowledge, excellent organizational skills, and the ability to work independently while maintaining confidentiality.
Responsibilities:
- Maintain accurate financial records for residential and/or commercial properties.
- Record daily financial transactions, including rent receipts, owner contributions, and operating expenses.
- Process accounts payable and accounts receivable.
- Prepare and issue invoices, tenant statements, and payment reminders.
- Reconcile bank accounts, credit cards, and trust accounts on a regular basis.
- Monitor rent collections and follow up on outstanding balances.
- Prepare monthly, quarterly, and annual financial statements for property owners and management.
- Assist with budgeting, cash flow forecasting, and financial planning.
- Maintain general ledger accounts and journal entries.
- Process payroll or coordinate payroll information when required.
- Support month-end and year-end closing procedures.
- Assist with audit preparation and provide supporting documentation.
- Ensure compliance with company policies, accounting standards, and applicable regulations.
- Maintain organized financial records and electronic filing systems.
- Collaborate with property managers, vendors, owners, tenants, and external accountants.
Requirements:
- Diploma or degree in Accounting, Finance, Bookkeeping, or a related field.
- Minimum of 2 years of bookkeeping or accounting experience, preferably in property management or real estate.
- Proficiency in accounting software such as QuickBooks, Yardi, Sage, or similar platforms.
- Strong knowledge of accounting principles and financial reporting.
- Advanced proficiency in Microsoft Excel and Microsoft Office.
- Excellent organizational, analytical, and problem-solving skills.
- High level of accuracy and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Knowledge of trust accounting is considered an asset.
- Experience with residential and commercial property accounting.
- Understanding of lease administration and rent roll management.
- Familiarity with GST/HST or applicable tax requirements.
- Ability to work independently and as part of a team.
- Strong customer service and interpersonal skills.
