Job Overview
Our client, a well-established and growing HVAC contractor in Mississauga, is seeking a reliable and experienced Office Administrator to join their team on a long-term basis. This position is ideal for a highly organized individual with strong computer skills, excellent customer service abilities, and a professional approach to office administration. The successful candidate will play a key role in supporting daily operations, coordinating with customers and service technicians, preparing quotations, managing inventory records, and ensuring the smooth functioning of the office.
Key Responsibilities
- · Monitor, respond to, and manage email communications promptly.
- · Deliver exceptional customer service and maintain positive relationships with clients.
- · Prepare customer quotations based on service requirements and technician recommendations.
- · Process and track orders for HVAC parts, materials, and supplies.
- · Maintain inventory records and assist with organizing shop shelves and storage areas.
- · Perform general office administration duties, including filing, record management, and data entry.
- · Coordinate and communicate effectively with service technicians regarding daily schedules, service requirements, and administrative support.
- · Learn and utilize the company’s internal software systems and databases.
- · Assist management with administrative projects and operational support as required.
Qualifications s Requirements
- · Minimum 3 years of office administration experience in a professional office environment.
- · Strong computer proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and general business software applications.
- · Excellent verbal and written communication skills.
- · Strong customer service and interpersonal skills.
- · Proven ability to multitask, prioritize work, and meet deadlines in a fast-paced environment.
- · Exceptional organizational skills and attention to detail.
- · Ability to work independently while also contributing effectively within a team environment.
- · Experience preparing quotations, managing inventory, or coordinating service operations is considered an asset.
- · Mechanical aptitude or previous exposure to the HVAC, construction, trades, or service industry is preferred.
- · Willingness to learn new systems, software, and operational processes.
