Virtual Administrator / Clinic Coordinator
Position: Part-Time (approx. 15 hours/week)
Compensation: $22.00 / hour

What You’ll Do:
- Client Support & Interaction: Manage client bookings, intake and consent forms, respond to calls and emails warmly and professionally, and process session payments.
- Quality Assurance: Complete administrative tasks accurately, follow up on payments, secure client information, and manage booking software and schedules.
- Virtual Office Maintenance: Keep digital files organized, track tasks, update internal systems, and support smooth therapist operations.
- Social Media & Newsletter Support: Draft, schedule, and post content, assist with newsletters, and maintain consistent communication across platforms.
- Reporting: Generate and maintain reports on client inquiries, billing, and scheduling to support clinic growth and decision-making.
To Succeed in This Role (Our Ideal Candidate):
- Responsive Time Management: You don't need to be at your desk for 7 hours straight. However, you do need a quiet workspace and the daily flexibility to regularly check emails and make client follow-up phone calls between 8:30 AM and 3:30 PM, Monday to Friday.
- Compassionate Communication: Excellent communication skills with the ability to connect with clients warmly and professionally, representing the clinic’s vision.
- Proactive & Organized: Extremely organized, thinking 10 steps ahead with an entrepreneurial mindset. You can work independently, juggle tasks, and meet deadlines.
- Tech-Savvy: Comfortable using Google Workspace, Dropbox, Mac, and Windows. Experience with Jane practice management software is a strong asset.
- Growth-Minded: Confident in sharing ideas and constructive feedback to help our clinic grow.
Qualifications:
- 2-3 years of experience in Client Care and Customer Service, preferably in a medical or therapy office front desk setting.
- Psychology, social work, or psychotherapy students or graduates are welcome.
