Work setting
Tasks
- Answer incoming phone calls and direct inquiries to the appropriate staff member in a timely and professional manner.
- Draft and prepare temporary residence applications, including study permits, work permits, visitor records, visitor visas, and spousal sponsorship applications, on behalf of clients, under the direction and Supervision of the RCIC.
- Manage email correspondence and maintain accurate records of all incoming and outgoing communications, including phone calls, emails, and follow-ups.
- Schedule phone calls, appointments, and meetings for the RCIC with clients, employers, and third parties.
- Communicate professionally with clients and third parties, assist with document signing, and set up and manage secure client portals for information and document exchange.
- Maintain and organize physical and electronic client files, coordinate document flow, and ensure compliance with firm policies and regulatory requirements.
- Manage client matters from start to finish, including opening and closing files, initiating conflict checks, and maintaining accurate client records within the firm’s internal systems.
- Provide administrative assistance and information to clients as instructed by the RCIC, including guidance on pricing, application status updates, and general procedural inquiries.
- Support billing and financial administration by preparing invoices, processing payments, and liaising with clients regarding billing instructions.
- Provide ongoing administrative support to the RCIC and the broader team to ensure efficient daily operations
