Position Summary:
Wasauksing First Nation is accepting applications for a HR Administrator. Reporting to the Human Resources Manager, the Human Resource Administrator provides administrative support as it relates to recruitment, staffing and human resources activities for Wasauksing First Nation. This includes hires, job changes, benefit administration, retirements/resignations, etc., as well as ensuring the integrity of the processes and data within the HR Bamboo system. We are looking for an HR Administrator to support our Human Resources department. At times, the HR Administrator will be the first point of contact for HR-related queries from employees and external partners.
Job Duties & Responsibilities:
- Assist with the confidential administration of staff and faculty appointment processes.
- Prepare routine to complex letters and other correspondence for signature by the appropriate representative.
- Maintain records of end dates and renewal eligibility to proactively ensure that appointments are processed, renewed, modified and terminated in a timely manner.
- Work closely with the financial team for employee records, information, and documents, for pension, benefits and Records of employment.
- Engage with Managers to administer the staff probation tracking process.
- Update information and maintaining physical and electronic employee files.
- Provide direction to employees related to various business processes within HR Bamboo system and provide troubleshooting support.
- Maintain data to support effective client service measurement as required.
- Execute accurate data inputs to enable correct outputs from HR Bamboo.
- Sort and file of documentation.
- Draft recruitment posts, letters, job descriptions, and policy updates.
- Support the HR department in the talent acquisition and recruitment process.
- Create onboarding packages for new hires.
- Assist with organizing and tracking learning and development
- Ordering, maintaining and organizing of the office and supplies.
- Manage the process of obtaining, matching, and filing credit card receipts.
- Assistance with government reporting and data-entry functions, as required
- Maintain a strict code of confidentiality concerning WFN business activities and all related affairs.
- Update internal databases (e.g. record sick or maternity leave)
- Participate in HR projects (e.g. help organize a job fair event)
- Taking notes and minutes as required
- Participate in relevant commities (H&S, Staff Development)
- Provide support to HR team in all HR functions, including projects & initiatives
- Adhere to all policies and procedures of Wasauksing First Nation and any other relevant policies and procedures from external agencies and partners
- Perform other duties within the scope of the position as assigned by the Manager Or Supervisor
Education & Experience:
- Post-Secondary Diploma or Degree in a Business-Related discipline is preferred
- A minimum of 2 years HR operational experience with knowledge of general HR practices, legislation and HR technology, including HRMS systems, is preferred
- Experience with a number of benefit administration processes
- 2 years of experience working in administration is preferred
- Excellent interpersonal and communication skills to provide excellent client service to both internal and external stakeholders
- Ability to speak, read and understand Anishnaabemowin (Ojibway Language) is an asset
Other Requirements:
- Strong attention to detail, problem solving and organizational skills
- Knowledge of applicable current Employment Legislation (ESA)
- Ability to multi-task and prioritize work, at times with conflicting priorities
- Experience working with HR systems
- Proficient in Microsoft Office Applications and Canva;
- Must be a team player who thrives in a busy environment, while upholding strong business and work ethics
- Benefit administration experience is an asset
- Valid Driver's License and reliable personal vehicle
- Willing to work flexible hours as required, including evenings and weekends
- Wasauksing First Nation requires the individual to provide a vulnerable sector or criminal record check
