About the Role
We are a growing trucking and logistics company seeking a mature, reliable, and responsible individual to join our team as our key office support. This hybrid role combines daily office administration with HR coordination—focusing heavily on driver recruitment, payroll, onboarding, and basic employee/driver support—in a fast-paced environment. The ideal candidate is highly organized, detail-oriented, professional, and able to work independently while supporting team success and ensuring smooth operations and basic compliance.
Key Responsibilities
- Manage incoming phone calls, emails, and in-person greetings for clients, drivers, and applicants
- Handle full-cycle driver recruitment administration: post jobs on online boards (e.g., Indeed, trucking sites), screen/process applications, coordinate interviews, prepare onboarding paperwork, and maintain driver records/files
- Process weekly driver payrolls (including hours calculations, data entry, deductions, and ensuring accurate, timely payments in line with BC Employment Standards)
- Support basic HR functions: assist with new hire onboarding/orientation, maintain confidential employee and driver files/records, track compliance documentation (e.g., licenses, hours logs), and handle routine employee inquiries or updates
- Perform general administrative duties (filing, data entry, scheduling, correspondence, office coordination, supplies management)
- Contribute to overall office efficiency to support day-to-day trucking operations
Qualifications & Requirements
- Minimum 2 years of office administration experience (essential)
- Strong computer skills: proficiency in Microsoft Word, Outlook, Excel, and Adobe (PDF handling); experience with payroll software (e.g., QuickBooks, ADP) or accounting tools is a strong asset
- Excellent verbal and written communication skills in English
- Friendly, approachable, professional demeanor with a positive "can-do" attitude
- Highly organized, detail-oriented, and able to prioritize time-sensitive tasks like weekly payroll
- Reliable team player who works independently and handles confidential/sensitive information discreetly
- Background in trucking, dispatch, logistics, recruitment, or payroll/HR administration is a strong asset (not required)
- Familiarity with BC Employment Standards (or willingness to learn quickly) is an advantage—especially for driver payroll, records, and basic onboarding
- Mature, responsible individual with a solid work ethic
