Carefirst Seniors & Community Services Association is a non-profit charitable community services agency established since 1976. Our spectrum of services has grown from the delivery of Chinese meals-on-wheels service to a full range of community support services, covering the whole Greater Toronto Area.
With a staff of more than 550 members (including full-time and part-time staff) and the help of a pool of 850 active volunteers, we serve over 15,000 clients a year, including seniors, adults, youth with physical, social, emotional and health challenges. 3,000 of whom are “home-bound” and frail.
We are currently seeking a new position of Office Manager at our Administration team.
Terms: Full Time Permanent
Location: 300 Silver Star Blvd. and other locations
Pay range: $50,000 – $60,000 annually
Essential Duties and Responsibilities:

Support new office(s) administrative functions across multiple sites to ensure organizational effectiveness and efficiency

Provide direct administrative and project coordination support to the Director of Strategy, Innovation and Development on various matters

Maintain accreditation documentation, policy registers, and supporting evidence repositories using an accreditation management system

Support continuous quality improvement (CQI) initiatives, including the Plan-Do-Study-Act (PDSA) cycles, committee scheduling, minute-taking, and follow-through on action items

Coordinate various projects and quality improvement initiatives end-to-end, including scoping, planning and execution

Liaise with internal stakeholders, vendors, and external partners to support timely project delivery
Qualifications & Job Requirement:

University degree in Human Resources Management or Business Administration

5 years of related experience in a fast-paced clinic or health care setting preferred

Demonstrated previous experience managing or coordinating projects, including planning, scheduling, stakeholder coordination, and reporting

Proficient computer skills in Microsoft Office, with EMR (TELUS Practice Solutions) knowledge considered an asset

Knowledge of current best practices on office procedures, the Employment Standards Act, and the Occupational Health & Safety Act

High degree of judgment, critical thinking, and the ability to maintain confidentiality

Efficient, courteous, and professional, with excellent communication and interpersonal skills
-
A well-defined sense of diplomacy, including solid negotiation, conflict resolution, and people management skills
-
Superior time management and multitasking skills, with the ability to prioritize tasks with minimal supervision
-
Proficiency in English (Cantonese and Mandarin are assets)

Valid Ontario driver's license

Current police vulnerable sector check completed within one year
