The South Muskoka Breakers are seeking a highly organized and dependable Part-Time Administrative Coordinator to support the day-to-day operations of our growing basketball organization. This role is ideal for someone who enjoys working in youth sports, communicating with families and volunteers, and helping programs grow and run smoothly behind the scenes.
The successful candidate will work closely with the Executive Director, coaches, Board Members, and families to ensure the organization remains organized, professional, and well-supported throughout the season.
Key Responsibilities
- Monitor and manage player registrations
- Register players and teams with organizations such as OBA, OBL, and Jr. NBA
- Ensure gym permits are booked, secured, and tracked
- Coordinate organizational insurance requirements
- Gather and maintain required documentation from coaches
- Set up teams on team communication tools
- Communicate with parents regarding schedules, payments, updates, and organizational information
- Assist with social media updates and online communication
- Update and maintain the organization’s website
- Schedule scorekeepers and referees for local games
- Work with the Executive Director to prepare materials and logistics for board meetings
- Support coaches with team budgeting and administrative needs
- Coordinate tryout logistics, including scheduling and registration
- Track and ensure player payments are collected
- Assist coaches with building game schedules
- Coordinate and book advertisements and promotional opportunities
- Provide administrative support to teams, coaches, and board members as needed
- Other duties as assigned
Qualifications
- Strong organizational and time-management skills
- Excellent communication and interpersonal abilities
- Ability to manage multiple tasks and deadlines independently
- Comfortable using email, spreadsheets, online registration systems, social media platforms, and other online team communication tools
- Basic QuickBooks knowledge is considered an asset
- Basketball knowledge and/or experience in youth sports is an asset, but not required
- Ability to work flexible hours, including occasional evenings or weekends during busy periods
Position Details
- Part-time position
- Flexible hours based on seasonal needs
- Compensation: $25 per hour
- Busy months may require approximately 60 hours per month (Sept, Oct, Dec and Jan)
- Primarily remote/administrative work with some in-person meeting/event/game support required
