Position Summary
Helen’s Acres Community Farm is seeking a people centered, community-minded Event & Volunteer Coordinator to lead the planning and execution of community and fundraising events, strengthen volunteer engagement, and support the farm’s mission through strategic communication and marketing. This role blends hands-on outdoor work with volunteers and program-focused planning.
Event Planning & Execution
· Plan, coordinate, and deliver community events, volunteer engagement, and fundraising activities at the farm.
· Develop event concepts that align with the farm’s mission and community goals.
· Manage event logistics including scheduling, equipment, set-up, safety considerations, and on-site coordination.
· Work collaboratively with staff, board members, partners, and sponsors to ensure successful event outcomes.
· Track event budgets, timelines, and post-event reporting.
Volunteer Engagement & Coordination
· Recruit, onboard, schedule, and support volunteers for farm activities and events.
· Lead volunteer groups outdoors, providing clear instruction, safety guidance, and positive engagement.
· Build strong relationships with volunteers to foster retention and a welcoming culture.
· Maintain volunteer records, communications, and recognition initiatives.
Communications & Marketing
· Develop and share event promotions, volunteer updates, and impact stories across digital platforms.
· Create engaging content for newsletters, social media, and community outreach.
· Support brand consistency and messaging that reflects Helen’s Acres’ mission and values.
· Collaborate on marketing strategies to increase community awareness and event participation.
Strategic Planning & Collaboration
· Contribute to annual planning for events, volunteer programs, and community engagement.
· Identify opportunities to strengthen volunteer systems, improve event processes, and expand community reach.
· Work with leadership to align activities with organizational goals and long-term strategy.
Qualifications & Skills
· Experience in event planning, volunteer coordination, and community engagement.
· Strong communication skills—written, verbal, and interpersonal.
· Ability to lead groups outdoors in a hands-on farm environment.
· Comfortable working outside in varying weather conditions.
· Strong organizational and time-management skills.
· Experience with marketing, social media, or digital communications.
· Ability to work independently and collaboratively.
· A passion for community service, food security, and agriculture is an asset.
Working Conditions
· Combination of outdoor farm work and indoor administrative tasks.
· Working hours reflect the demands of the season: the position is Monday to Friday November to May, and Tuesday to Saturday April to October. Occasional evening or weekend work may be required for events.
· Physical ability to participate in farm activities and event set-up.
