At Inclusion Chilliwack Society (ICS), we're looking for a highly organized, detail-oriented Administrative Assistant to support our Child & Youth Department. This is more than a traditional administrative role. You'll play an important part in helping children, youth, families, program staff, and managers by providing administrative, financial, technical, and operational support across several programs.
This position offers 20 guaranteed hours per week, with the potential for additional hours if program funding increases.
Current wage: $20.60 per hour (A wage increase is expected and may be implemented before interviews are conducted)

What You'll Be Doing: No two days are exactly the same. You'll be a key support person helping our Child & Youth Services team operate smoothly and efficiently.
Your responsibilities will include:
Administrative Support
- Maintain electronic and paper-based program records
- Prepare correspondence, reports, meeting minutes, and information packages
- Complete filing, scanning, and data entry tasks
- Coordinate room bookings and maintain scheduling calendars
- Support hiring processes, including references and criminal record checks
- Create and maintain staff profiles and training records
- Assist managers with brochures, posters, forms, and promotional materials
Family & Program Support
- Assist families with program registration and intake processes
- Coordinate schedules, communications, pickups, drop-offs, and program information
- Provide tours of program locations to families and community members
- Conduct surveys by phone, online, and in person
- Support staff and participants with general inquiries and problem-solving
Finance & Business Support
- Process payments and maintain financial records
- Receive funds and issue receipts
- Track invoices, payments, and program-related expenses
- Work closely with our Finance Department to support financial processes and reporting
- Maintain accurate records using spreadsheets and internal systems
Technical & Operational Support
- Support staff with technology and equipment issues
- Assist with computers, cameras, sound systems, and Office 365 applications
- Coordinate office and program supply purchases
- Participate in workplace health and safety activities, inspections, and maintenance tracking
What We're Looking For: We're seeking someone who is organized, adaptable, and enjoys working with people.
Qualifications
- Education in Administration, Business, Accounting, or a related field (or equivalent experience)
- Previous administrative experience
- Strong computer skills, including:
- Microsoft Word
- Outlook
- Excel (essential)
- Adobe Acrobat
- Microsoft 365
- Experience working with spreadsheets and financial information
- Strong attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and work independently
- Comfortable collaborating with managers, families, children, youth, and finance professionals
- Friendly, professional, and approachable
- A positive attitude and appropriate sense of humour
Schedule
- Monday to Friday
- 9:00am - 1:00pm (some flexibility may be available for the right candidate)
