Overview
We are seeking a professional and organized Front Desk Receptionist to join our Living Water Retirement team. This role is vital in creating a welcoming environment for Residents and visitors while efficiently managing administrative tasks. The ideal candidate will possess strong communication skills, excellent organizational abilities. This position offers an opportunity to contribute to a dynamic Health Care setting with a focus on Resident service and administrative excellence.
Duties
- Greet Residents, visitors, and staff in a courteous and professional manner at the front desk
- Manage multi-line phone systems, answer inquiries, and direct calls appropriately
- Schedule appointments and maintain calendars using Google Calendar.
- Perform data entry and maintain accurate records through filing and digital organization
- Assist Residents with daily activities as required
- Deliver packages to Resident suites, or office area
- Assist visitors with access to key card elevator system
- Handle incoming and outgoing mail, emails, and correspondence with attention to detail
- Assist with billing, invoicing, and basic bookkeeping using PointClickCare.
- Support administrative tasks such as proofreading documents, managing office supplies, and maintaining cleanliness of the reception area
- Provide exceptional customer service by addressing questions or concerns promptly and professionally
- Coordinate with other departments to ensure smooth office operations
- Assist with marketing & sales , creating material, organizing pamphlets, conduct tours if management unavailable.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with the ability to learn new software quickly
- Experience with data entry, filing systems, and clerical duties
- Excellent customer service skills with professional phone etiquette
- Ability to handle multi-line phone systems efficiently
- Organizational skills with keen attention to detail and accuracy
- Previous administrative experience preferred; experience in Retirement Sector an asset
- Ability to manage multiple tasks simultaneously in a fast-paced environment
