Role Overview
As we expand our operations, we are seeking an experienced Medical Office Assistant (“MOA”) to join our newest location in Southcentre! As the primary point of contact for our patients, the MOA plays an important role in ensuring a seamless and professional patient experience every step of the way. They bring a blend of clinical knowledge and administrative expertise, and are well positioned to serve as the liaison between patients and the healthcare team to ensure all pertinent information is captured and relayed accurately to maintain high standards of patient care.
Key Responsibilities:
- Patient flow and experience
- Maintain an efficient clinic flow while greeting patients with friendliness, professionalism and empathy
- Monitor patient locations and conditions, notifying the healthcare team of concerns or any urgent concerns
- Electronic Medical Record (“EMR”) management
- Act as the gatekeeper of patient data by creating new patient files, updating demographics and personal information
- Record pertinent and relevant personal and medical information with the EMR as well as specific dialogue information with patients (via phone or in person)
- Care coordination
- Provide clear instructions to patients regarding future appointment dates and follow up medical tests, including explaining procedure protocols and distributing necessary forms and paperwork
- Ensure patients understand any special instructions
- Referral management
- Arrange special patient bookings regarding tests, specialist appointments, etc.
- Stay on top of any patient forms required, special preparations needed, and ensure requirements are clearly communicated to patients
- Manage referral process of booking appointments in the facility
- Other duties as may be assigned
Qualifications:
- Minimum 3 years of relevant experience working in a medical or clinical setting
- Completion of the Medical Office Assistant Program from a recognized post-secondary program preferred
- Completion of post-secondary training with a focus on medical terminology/processes
- Experience working with an integrated Electronic Medical Records (EMR) system
- Ability to work independently while also thrive as part of a cohesive team with a focus on providing high-quality patient care
- Exceptional communication skills with the ability to remain calm and empathetic in a medical setting
