Job Summary
We are seeking a highly organized and detail-oriented Real Estate Assistant to support our real estate team. This role involves managing administrative tasks, coordinating communications, and assisting with research and legal documentation to ensure smooth property transactions. The ideal candidate will possess strong organizational skills, excellent writing and research abilities, and familiarity with legal drafting and project management tools. Duties
- Assist with proofreading and editing real estate documents, contracts, and legal drafts to ensure accuracy and compliance
- Conduct research using tools such as LexisNexis to gather property data, legal information, and market insights
- Manage project workflows, coordinate schedules, and track deadlines to ensure timely completion of transactions
- Support interviewing processes by preparing materials and documenting proceedings
- Utilize iManage or similar document management systems for filing, organizing, and retrieving files efficiently
- Perform data entry tasks related to property listings, client information, and transaction records
- Handle administrative responsibilities including filing, document preparation, and maintaining organized records
- Provide professional phone etiquette when communicating with clients, vendors, and team members
- Assist with clerical duties such as copying, scanning, and mailing documents as needed
Skills
- Proven experience in administrative support or clerical roles within a real estate or legal environment
- Strong organizational skills with the ability to manage multiple tasks simultaneously
- Excellent writing skills for drafting correspondence, legal documents, and reports
- Proficiency in research tools such as LexisNexis and familiarity with project management software
- Experience with legal drafting related to real estate transactions is a plus
- Attention to detail in proofreading documents for accuracy and consistency
- Data entry skills with high accuracy levels
- Knowledge of iManage or similar document management systems is desirable
- Effective communication skills with professional phone etiquette
- Ability to prioritize tasks efficiently in a fast-paced setting
