Proposal Coordinator
Developing high-quality proposals requires time, effort, strategy and, above all, effective coordination among contributors. In an environment characterized by numerous deliverables and tight deadlines, the Bid Management Office (Bureau d'offre de service – BOS) supports business development by coordinating the delivery of proposals for the Greater Montréal business unit. Through an approach that combines flexibility and rigor, BOS Proposal Coordinators guide and advise proposal teams on the processes to follow to ensure the delivery of high-quality proposals that meet both CGI and client requirements.
The incumbent will serve as a Proposal Coordinator within the Greater Montréal Bid Management Office team. Their primary responsibility will be to coordinate activities throughout the request for proposal (RFP) response process, ensuring compliance with established timelines and processes.
The successful candidate will be responsible for:
- Collaborating with centers of expertise and business developers in the bid qualification and kickoff process
- Organizing proposal kickoff meetings
- Recommending a response structure and coordinating proposal development activities, including the creation of MS Project work plans
- Monitoring project plans and progress through regular status meetings
- Obtaining required official documents, such as bonding documents, insurance certificates and ISO certificates
- Facilitating the reuse of standard text with the support of the Documentation Center
- Contributing to the drafting of selected proposal sections
- Ensuring that proposal teams adhere to CGI standards, including:
- Obtaining approvals as required under the Operations Management Framework and the Business Engineering Management Framework (BEMF)
- Securing legal review of the proposed agreement, when required
- Ensuring compliance with CGI branding guidelines
- Coordinating editing, translation and desktop publishing activities with the Linguistic and Document Publishing Services team
- Verifying proposal compliance with the client's administrative and mandatory requirements
- Coordinating final proposal delivery activities
- Coordinating final quality control reviews and ensuring proposals are submitted on time.
Key qualifications for this role include:
- Experience in administration, information technology or a related field
- Two years of experience in project management or in a coordination role (equivalent experience will be considered)
- Demonstrated leadership and determination, combined with a strong ability to adapt to changing circumstances
- Strong attention to detail, commitment to quality, and ability to meet deadlines
- Excellent written communication skills in French and English, and fully bilingual in spoken French and English
- Strong text analysis and comprehension skills
- Proficiency with the Microsoft Office suite and working knowledge of MS Project
- Interest in internal operations and the promotion of CGI's services.
Assets:
- Knowledge of the information technology sector
- Familiarity with CGI's environment, areas of expertise and business sectors.
