Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office and providing support to various departments.
Key Responsibilities (Not Limited To):
- Create and submit construction proposals and tenders
- Agreement/ Purchase Order review, including accompanying start up/ongoing documents
- Correspondence with clients related to submitted proposals, agreements in place and retrieval of purchase orders
- Provide administrative support to the management team and other departments as needed
- Manage calendars, schedule appointments, and coordinate meetings and conferences
- Prepare and distribute correspondence, memos, and reports
- Handle incoming and outgoing mail and packages
- Maintain electronic and paper filing systems, ensuring all documents are properly organized and easily accessible
- Answer and direct phone calls, taking messages when necessary
- Greet and assist visitors, ensuring they have a positive experience
- Assist with special projects and events as assigned
Qualifications:
- 2-5 years of experience in an administrative role supporting a construction company, builder or trade
- Experience with construction project estimation
- Experience with client/builder relations
- Knowledge of construction billing practices (i.e. progress draws etc.)
- General knowledge of construction scope of work
- Strong organizational skills with the ability to prioritize tasks and manage time effectively
- Excellent written and verbal communication skills, with attention to detail
- Proficient in using computer software and applications, including MS Office Suite
- Ability to work independently and as part of a team, demonstrating a proactive and positive attitude
- Must have a vehicle and G driver’s license
