Duties:
- Accounts payable: Process and pay all vendor invoices and track expenses.
- Accounts receivable: Create and send invoices to customers and manage outstanding payments.
- Payroll: Process bi-weekly payroll for all company's employees, including calculating wages, commission, and handling tax deductions and remittances.
- Financial reporting: Prepare monthly and quarterly financial reports, including income statements and balance sheets, for review by management and our external accountant.
- Tax preparation support: Assist in preparing and filing tax documents, including sales tax (GST/PST) and other government remittances.
- Handle confidential information with integrity and discretion.
- Handle the marketing outreach for our on-going but seasonally-changing media campaigns as well as processing and approvals and reimbursement for co-marketing supported campaigns.
Qualifications and skills
- Proven experience in a bookkeeping or accounting role, preferably in a small business environment.
- Proficiency with SAGE accounting software and Microsoft Office Suite, especially Excel.
- Exceptional attention to detail and a high degree of accuracy.
- A team player in learning and communicating in a fast-paced, customer service oriented business.
As well, proven administration skills to support our small but busy HVAC office team, such as, but not limited to:
- Answer phone calls, in-person and email inquiries and create appropriate work orders using our dispatch software for our HVAC team of 15-18
- Manage calendars, staff lists, schedule appointments, coordinate training spreadsheets, while working with other office staff to assist in these procedures
- Prepare and distribute correspondence, pick up mail, receiving and shipping
- Assist in typical office maintenance (stocking staff room, office supplies, customer gift certificates)
- Take responsibility for filing, data entry, record keeping, and filing
- Assisting in on-line, walk-in, emailed and phone customer requests
- This position is a full-time administrative support to our small office staff and team of dedicated technicians

This position requires learning our unique dispatch and scheduling software. Training will be provided, but previous similar experience will be a benefit.
