The BDC & Office Administration Assistant plays a key role in supporting the dealership's Business Development Centre (BDC), social media presence, and day-to-day office operations. This position is responsible for ensuring exceptional customer service, maintaining accurate CRM and dealership records, supporting marketing initiatives, and assisting the Finance Manager with administrative duties. The successful candidate is organized, customer-focused, and able to manage multiple priorities in a fast-paced dealership environment.

Manage and monitor all inbound and outbound sales leads.

Respond to customer inquiries promptly, professionally, and courteously.

Review aged and unattended leads to ensure timely follow-up.

Maintain accurate customer information and activity within the CRM.

Schedule appointments and coordinate with the sales team.

Track lead performance and prepare reports for management.

Support continuous improvement of customer follow-up processes.

Manage the dealership's social media platforms and online presence.

Create and publish engaging content promoting dealership inventory, services, promotions, and events.

Respond to customer inquiries received through social media channels.

Assist with marketing campaigns and lead generation initiatives.

Monitor online reviews and customer feedback, escalating concerns when appropriate.

Review customer and vehicle deal files for accuracy and completeness.

Assist the Finance Manager with daily administrative responsibilities.

Prepare, organize, and maintain dealership documentation and records.

Ensure filing systems are accurate and compliant with company policies.

Provide administrative support to management and other departments as required.

Assist with general office coordination and special projects.

Support BDC operations by assisting team members in achieving performance objectives.

Help improve operational processes and customer experience.

Previous experience in a dealership BDC, customer service, administration, or office support role is considered an asset.
