Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and clients, managing front desk operations with efficiency and professionalism. This role requires excellent communication skills, strong organizational abilities, and proficiency with office management tools. The Receptionist will support various administrative functions to ensure smooth daily operations across our office environment. Experience with office management systems, customer service, and multitasking are essential for success in this position.
Responsibilities
- Greet visitors and clients warmly, providing exceptional customer service at all times
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Handle front desk duties including scheduling appointments, maintaining calendars, and managing visitor logs
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite, Google Workspace, and other office software for administrative tasks
- Maintain organized records of correspondence, appointments, and office supplies
- Support office management tasks such as bookkeeping using QuickBooks or similar software
- Assist with clerical duties including typing documents, proofreading materials, and managing email correspondence
- Provide customer support by addressing inquiries promptly and professionally
- Ensure the reception area remains tidy and welcoming at all times
Qualifications
- Prior office experience or administrative background preferred
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry skills
- Experience with multi-line phone systems and front desk operations required
- Bilingual skills are a plus to effectively communicate with diverse clients and visitors
- Excellent organizational skills with attention to detail and time management abilities
- Strong customer service orientation with professional phone etiquette and interpersonal skills
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Knowledge of QuickBooks or bookkeeping experience is advantageous
- Previous experience as a medical or dental receptionist or personal assistant is beneficial but not mandatory
