Newton's Grove School is a leading JK–Grade 12 university preparatory school dedicated to fostering academic excellence, character development, innovation, and community. We are seeking an organized, energetic, and highly professional Executive Assistant & Communications Coordinator to join our team beginning in August 2026.
This is a dynamic and multifaceted role that combines executive support, communications and social media management, and front desk operations. The successful candidate will serve as a key ambassador for the school, ensuring a welcoming experience for families and visitors while supporting the Leadership Team and helping tell the story of Newton's Grove School through engaging communications.
Key Responsibilities
Executive and Administrative Support
- Provide administrative and executive support to members of the Senior Leadership Team (SLT) and Strategic Leadership Team.
- Coordinate calendars, meetings, schedules, and administrative priorities as required.
- Prepare, edit, proofread, and distribute professional correspondence, reports, presentations, and school communications.
- Assist with special projects, strategic initiatives, and school-wide events.
- Maintain confidentiality and exercise discretion when handling sensitive information.
Communications and Social Media
- Create, schedule, and publish engaging content across the school's social media platforms.
- Ensure social media channels remain current, engaging, and aligned with the school's brand, mission, and strategic priorities.
- Collaborate with school leaders to promote programs, events, student achievements, and community initiatives.
- Capture and share the daily life of the school through photos, videos, stories, and digital content.
- Support website updates and ensure online content remains accurate, relevant, and up to date.
- Monitor engagement and identify opportunities to strengthen the school's digital presence and community outreach.
Reception and Front Desk Operations
- Serve as the backup point of contact for students, families, visitors, and prospective families, providing a warm, welcoming, and professional experience.
- Provide front desk coverage and support to ensure a welcoming, responsive, and efficient experience for students, families, staff, and visitors during staff absences and scheduled breaks.
- Support in managing incoming phone calls, emails, inquiries, and front desk operations with efficiency and professionalism.
- Coordinate visitor sign-in procedures and support school security protocols.
- Respond to inquiries and direct requests to the appropriate staff members.
- Assist with day-to-day administrative operations and ensure a positive experience for all stakeholders.
Technology and Systems Support
- Utilize school management systems, communication platforms, and digital tools effectively and efficiently.
- Support administrative processes through the effective use of technology.
- Assist with maintaining accurate records, databases, and communication systems.
- Demonstrate a willingness to learn and adapt to new technologies and platforms.

Qualifications
- Post-secondary education in communications, marketing, business administration, office administration, or related field is preferred.
- Experience in executive support, communications, marketing, customer service, or administrative roles.
- Proficiency with social media platforms, Microsoft Office, Google Workspace, and digital communication tools.
- Experience in an educational setting is considered an asset.

Pay: $45,000.00-$65,000.00 per year
