Summary: The exams operational analyst supports the development and delivery of the university’s academic examination schedule throughout the year while contributing to convocation preparation. This role functions as the central point for coordinating exam-related activities, including the use and management of scheduling systems and processes. Work involves analyzing and improving examination procedures while addressing changing priorities and tight academic timelines in a student-focused environment. This position collaborates with academic and administrative units to support examination delivery and provide guidance to students and faculty. Additionally, the analyst contributes to maintaining institutional processes, systems, and partnerships related to examinations and registrarial services.
Duties and Responsibilities:
- Analyzes examination processes and recommends improvements to streamline final examination operations
- Acts as a functional analyst and administrator for exam scheduling systems and all university exam activities
- Liaises with Information and Communications Technology (ICT) to test, maintain, and upgrade exam scheduling software
- Balances institutional policies with equitable and effective service delivery to students and stakeholders
- Builds and maintains partnerships with academic units and administrative staff across campus
- Creates the academic examination schedule
- Provides information and support to students and faculty regarding examinations
- Updates databases and maintains filing systems related to exam operations
- Assists with booking and invigilating third-party examinations
- Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment
Qualifications:
- A bachelor’s degree in a related field
- Minimum of one year of related experience, including experience with student information systems and exam scheduling software
- Knowledge of registrarial functions, such as examinations, registration, and convocation
- Strong communication and interpersonal skills
- Ability to maintain multiple priorities and tight deadlines
- High attention to detail and problem-solving abilities
- Ability to handle confidential and sensitive matters with discretion
- Effective organizational, analytical, and time-management capabilities
- Ability to work effectively both independently and collaboratively in a team
- Proficient computer skills, including Microsoft Office applications and related systems
