Logistics Coordinator – Puppy Walking & Client Services

Position Summary
Canadian Guide Dogs for the Blind is seeking a highly organized and collaborative Logistics Coordinator to support the daily operations of the Puppy Walking Program and Client Services departments. This role focuses on internal coordination, scheduling, travel arrangements, application tracking, operational logistics, and administrative support to ensure the smooth delivery of program services.
The successful candidate will serve as a line manager for the Puppy Walking and Client Services Departments, providing operational coordination, workflow oversight, and day-to-day support while fostering effective communication and collaboration across departments.
Key Responsibilities
Operational Coordination & Team Support
- Act as line manager for the Puppy Walking and Client Services Team Leads
- Support day-to-day departmental operations, scheduling, and workflow coordination
- Collaborate with instructors, trainers, and staff to support program delivery
- Assist with developing and maintaining efficient operational procedures and scheduling systems
- Ensure effective communication and coordination across departments
Puppy Walking Program Coordination
- Track and manage puppy walking applications throughout the intake and approval process
- Coordinate Puppy Walking volunteer onboarding, scheduling, and ongoing communication
- Maintain accurate records, databases, and application documentation
- Schedule interviews, orientations, puppy placements, and training sessions
- Coordinate puppy/dog transfers, and related logistics
- Support the team with volunteer engagement and operational planning
Client Services & Logistics Coordination
- Coordinate appointments, training schedules, and departmental calendars
- Arrange travel, accommodations, and transportation logistics for clients, staff, and program participants
- Prepare travel itineraries and logistical documentation
- Support client intake administration and follow-up scheduling
- Serve as a liaison between clients, puppy walkers, instructors, volunteers, and staff
Administrative Support
- Maintain spreadsheets, scheduling systems, and operational records
- Prepare reports, correspondence, and departmental documentation
- Support inventory coordination and operational supply management
- Assist with event planning, volunteer activities, and community outreach initiatives
Qualifications
- Post-secondary education in administration, logistics, office management, nonprofit management, or a related field
- 5+ years of experience in administration, logistics coordination, scheduling, or client services
- Previous experience supporting teams or coordinating staff workflows considered an asset
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office and database/scheduling systems
- Ability to maintain confidentiality and professionalism
- Experience working with volunteers, nonprofit organizations, or service-based programs considered an asset
- Comfortable working in an environment with dogs and volunteers

Pay: $60,000.00-$70,000.00 per year
