We are looking for a friendly, organized, and customer-focused Customer Service Representative to be the welcoming, first point of contact for our clients.
Position Summary
The Customer Service Representative plays a key role in delivering an excellent client experience by assisting clients in person, over the phone, and through email. This position requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced professional environment.
Key Responsibilities
- Greet clients and visitors in a professional and welcoming manner.
- Answer and direct incoming phone calls and respond to general inquiries.
- Schedule appointments and manage staff calendars.
- Receive, organize, and distribute client documents securely.
- Maintain accurate client records and update information in the firm's database.
- Assist clients with required paperwork and administrative requests.
- Monitor shared email inbox and respond or route messages appropriately.
- Process incoming and outgoing mail and courier packages.
- Support accountants and administrative staff with various office tasks.
- Maintain reception, foyer, and boardroom in a clean and professional manner.
- Ensure confidentiality of all client information in accordance with firm policies.
Qualifications
- College diploma or an equivalent combination of education and experience in office administration
- Customer service, reception, or administrative experience is an asset.
- Experience in an accounting, financial services, or other professional office is preferred.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Proficiency in Microsoft Office (Outlook, Word, Excel) and Microsoft Teams (Chat, Phones, and Planner).
- Professional and positive attitude.
- Ability to handle confidential information with discretion.
- Strong problem-solving skills and attention to detail.
- Ability to work independently while collaborating effectively with a team.
