WINMAR® London is seeking a highly organized and detail-oriented Administrative Assistant / Gatekeeper to support our Project Managers.
Position Summary
This position is responsible for assisting with file administration, insurance claim intake, documentation review, data entry, protocol compliance, and file progression from intake through completion. The successful candidate will help ensure files are organized, complete, and progressing efficiently while supporting Project Managers in meeting client, company, and insurance carrier requirements.
The role requires exceptional organizational skills, strong attention to detail, excellent communication abilities, and the ability to manage multiple active files and competing priorities in a fast-paced environment.
Key Responsibilities
- Assist Project Managers with file setup, maintenance, organization, and progression.
- Assist in ensuring company procedures, client requirements, and insurance protocols are followed.
- Intake and process insurance claims, service requests, and client inquiries.
- Review insurance carrier protocols and documentation requirements to ensure compliance.
- Perform data entry and maintain accurate file information.
- Review files prior to invoicing to ensure required documentation has been collected.
- Assist with file audits and quality control reviews.
- Support accounts receivable processes, including collection follow-up and documentation review.
- Communicate professionally with clients, insurance representatives, subcontractors, property managers, and internal team members.
Experience with the following programs is preferred:
- Microsoft Office Suite
- Google Docs

Pay: $22.00-$25.00 per hour
