Job Title: Canada Summer Jobs - Administrative Services Coordinator
Location: Hybrid; #408 - 552 Clarke Rd, Coquitlam, BC
Hourly Wage: $18.25/hour
Employment Type: Temporary Full-time, 35 hours per week
Term: 8 weeks; June 1 - July 26 2026
Schedule: A combination of daytime, evening, and weekend shifts

According to Canada Summer Jobs, to be eligible for a CSJ position, you must meet the following criteria at the start of employment:
- Be between 15 and 30 years of age.

- Have a valid Social Insurance Number (SIN) and be legally entitled to work in Canada according to provincial regulations

Summary
The Administrative Services Coordinator supports the day-to-day operations of Low Entropy Foundation by providing administrative, program, and event coordination support. This role assists with scheduling, communications, record-keeping, and logistics to ensure the smooth delivery of programs and initiatives. Working closely with the team, the coordinator will also support the Leadership team coordinate events, engage volunteers and stakeholders, and contribute to communications and outreach efforts. This is a great opportunity for someone who is organized, detail-oriented, and interested in gaining experience in nonprofit operations and program delivery.
Responsibilities:
Program Support
- Coordinate and support the delivery of charitable programs by assisting with scheduling, communication, and logistics.
- Maintain accurate records of program participants, attendance, and outcomes.
- Prepare program materials, resources, and documentation to support facilitators and participants.
- Assist with data collection, surveys, and reporting for program evaluation and improvement.
- Manage program-related inquiries and provide information to participants and stakeholders.
Executive Director Assistance
- Prepare meeting agendas, take minutes, and follow up on action items.
- Draft correspondence, reports, and presentations as required.
- Handle sensitive and confidential information with discretion and professionalism.
Event Coordination
- Assist in planning and executing program-related events, workshops, and community initiatives.
- Coordinate logistics such as venue booking, catering, and participant registration.
- Prepare and distribute promotional materials and event invitations.
Volunteer and Stakeholder Engagement
- Support recruitment, onboarding, and scheduling of volunteers for charitable programs.
- Maintain regular communication with program stakeholders, including partners, funders, and participants.
- Assist in organizing volunteer appreciation events and activities.
Communications and Outreach
- Assist in creating and distributing program updates, newsletters, and reports.
- Maintain program-related content on the organization’s website and social media platforms.
- Support fundraising and donor engagement activities, including thank-you letters and event coordination.
Other Duties
- Provide general administrative support as needed to ensure the smooth operation of the organization.
- Collaborate with team members to support the organization’s mission and goals.
- Take initiative in identifying and resolving operational challenges.
Qualifications:
- Interest in administration, nonprofit work, communications, or a related field
- Strong organizational and time management skills with attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Comfortable using tools such as Google Workspace and Canva
- Strong interpersonal skills and ability to work collaboratively with a team
- Professionalism and ability to handle confidential information with discretion
- Problem-solving mindset with initiative and willingness to learn
- Experience with event planning, customer service, or administrative tasks is an asset
- Passion for community impact and alignment with Low Entropy Foundation’s mission
