Job Description — Purchasing Specialist
Role Purpose
The Purchasing Specialist sources materials and equipment efficiently and cost‑effectively to support operations while adhering to established inventory guidelines.
Reporting Relationship Reports to Director of Finance
Works with Branch Operations and Project Teams
Key Responsibilities
Vendor & Commercial Management
- Maintain approved vendor list and pricing agreements
- Ensure compliance with negotiated terms
- Manage vendor relationships and performance
- Identify cost savings and sourcing alternatives
Purchasing Execution
- Issue purchase orders for stock, project materials, and direct-to-site deliveries
- Expedite urgent orders and monitor supplier lead times
- Communicate delays or risks to stakeholders
- Ensure proper classification of stock vs. job purchases
SKU & System Support
- Create and maintain SKU records in S365
- Coordinate with Inventory Control on costing, categories, and units of measure
- Maintain accurate purchasing data
Inventory Support
- Purchase within established min/max parameters
- Flag recurring stockouts, overstock, and emergency purchases
- Provide input on demand trends and supplier performance
Key Deliverables

- Inventory valuation and accounting
- Min/max and stocking policy design
- Inventory adjustments and cycle counts

Skills & Experience
- Purchasing or supply chain experience (construction/trades preferred)
- Strong negotiation and vendor management skills
- High attention to detail and system discipline
