Job Description: Operations Coordinator – Logixx Security
Overview: Logixx Security is looking for an organized, detail-oriented, and proactive Operations Coordinator to assist in the day-to-day management and coordination of security operations. This full-time position will involve working closely with security personnel, management teams, and clients to ensure smooth operations, effective scheduling, and client satisfaction. The ideal candidate will have strong administrative skills, the ability to multitask, and a commitment to operational efficiency.
Key Responsibilities:
- Operational Coordination:
- Assist in coordinating security services throughout the region.
- Support the operations team by ensuring that security personnel are deployed according to the site schedules.
- Monitor and track staffing levels to ensure sufficient coverage across all client sites.
- Help prepare and maintain accurate schedules for security personnel, ensuring shifts are covered in advance.
- Ensure all operational requirements are communicated effectively to all team members.
- Staff Support and Coordination:
- Support the supervision of full-time, and part-time security personnel, including Account Managers, Site Supervisors, and Guards.
- Assist in ensuring all guards have the necessary equipment and resources to perform their duties effectively.
- Provide administrative support to supervisors by tracking employee attendance, performance, and training requirements.
- Maintain communication with staff to ensure all updates, briefings, and schedules are properly communicated.
- Client and Stakeholder Communication:
- Serve as a point of contact for clients and respond to inquiries related to security services.
- Assist in maintaining positive relationships with clients by addressing issues or concerns in a timely manner.
- Help coordinate on-site visits and any client-specific requests.
- Support the coordination of new business contracts and ensure that all site-specific requirements are followed.
- Administrative and Reporting Duties:
- Assist with the management of payroll and billing information by ensuring all necessary documentation is collected and processed in a timely manner.
- Support the ADP system, ensuring that it is used correctly by security personnel, and update daily reports and patrol logs as required.
- Maintain records of equipment inventory, including radios, keys, and other site-specific assets.
- Ensure that Site Standing Orders are up to date and accurately reflect the client’s operational needs.
- Compliance and Safety:
- Assist in ensuring compliance with health and safety regulations, labor laws, and other governing authorities as they relate to security operations.
- Help coordinate safety training programs and ensure all employees are familiar with workplace safety policies.
- Assist in internal investigations related to security incidents, employee concerns, or client complaints and provide support to managers during these processes.
- Other Duties:
- Assist in the preparation and review of reports, operational metrics, and other documentation as required.
- Participate in training programs to maintain up-to-date knowledge of security trends and best practices.
- Perform other administrative and operational duties as assigned by the Operations Manager or Regional Manager.
Qualifications:
- Experience: Minimum of 1 years experience in an administrative, coordination, management, or operations role in the security industry or a related field.
- Education: Post-secondary degree or relevant qualifications (preferred).
- Background: Security Field
Skills:
- Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to multitask and manage multiple priorities.
- Excellent communication and interpersonal skills.
- Ability to work well under pressure in a fast-paced environment.
- Attention to detail and a high level of accuracy in all tasks.
