Tri-City Concussion Clinic is a multidisciplinary clinic located in Cambridge. We offer a wide range of rehabilitation treatments including Physiotherapy, Chiropractic Care, Massage Therapy, Cognitive Therapy, Post-Concussion Therapy, Psychology and much more.
We are seeking a professional, responsible, reliable and organized Front Desk Receptionist to join our team. This role is vital in providing exceptional customer service, managing administrative tasks, and ensuring smooth daily operations within our office. The ideal candidate has certification from an accredited school for healthcare and/or office administration and possesses strong communication, organization, and problem-solving skills, proficiency with office software, and a friendly demeanor to support clients and staff effectively. Experience in a physiotherapy/chiropractic clinic is essential along with familiarity with MVA, WSIB, and EHC processes and billing is highly valued.
Duties
- Greet visitors and clients warmly, establishing a positive first impression
- Manage multi-line phone system, screen calls, and direct inquiries appropriately
- Schedule appointments and coordinate calendars using WalnutEMR
- Perform data entry and maintain accurate records through filing and digital organization
- Handle front desk responsibilities including checking in/out patients or clients
- Assist with administrative tasks such as proofreading documents, managing correspondence, and maintaining office supplies
- Communication with patients, insurance and healthcare providers
- Assist with laundry and with maintaining cleanliness/sanitization of gym, equipment, modality rooms, common areas
- Perform general office tasks and assist the Office Manager as needed
- Process payments, insurance and WSIB claims and support accounts receivable including reconciling incoming payments
- Ensure the reception area remains tidy and welcoming at all times
- Provide excellent customer service by addressing questions and resolving issues efficiently
Experience
- Previous clerical or administrative experience preferred, especially in a physiotherapy/chiropractic/massage/multidisciplinary clinic
- Familiarity with front desk procedures, multi-line phone systems, and office management software such as Microsoft Office, WalnutEMR
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent phone etiquette and customer service skills to support positive client interactions
- Proficiency in data entry, typing, proofreading, and general clerical tasks
- Ability to handle sensitive information discreetly while maintaining professionalism at all times
This position will have the potential to become full-time for the right individual.
Pay: $18.00-$19.50 per hour
