JOB DESCRIPTION
Ontario Shores Centre for Mental Health Sciences requires an experienced Secretary to join our Outpatient Centralized Scheduling Team. This team model includes two key roles; Patient-facing and Non-patient-facing, that work collectively to provide excellence customer service and secretarial supports for outpatient clinics and patients.
The Outpatient Centralized Scheduling Secretary will provide a range of duties to our outpatient programs. Key responsibilities of the Patient-facing role include (but are not limited to): Greeting and registering patients, booking follow-up appointments, providing word processing services to support outpatient teams, such as creating agendas, taking minutes at team meetings and supply management. The Non-patient facing role will have key responsibilities including (but are not limited to); Coordinating and booking appointments and groups, waitlist management, responding to telephone inquiries, maintaining multiple calendars, compiling statistical information and maintaining databases, maintaining accurate attendance records for payroll submission, as well as coverage in patient-facing roles, as needed.
Please Note: All secretaries in the Outpatient Centralized Scheduling team, must have the ability to work in all outpatient programs using this service, including off-site locations
Requirements:
- Completion of Grade 12 or recognized equivalent
- 3 years secretarial experience in a hospital or medical clinic environment.
- Knowledge of office procedures and guidelines
- Basic to Intermediate Microsoft Office Suite computer skills and intranet knowledge.
- Experience with scheduling and maintaining attendance records
- Proven ability to work effectively as part of a team
- Proven excellent interpersonal skills and effective oral/written communication skills.
- Demonstrated excellent organizational, time management, prioritization, analytical, problem-solving, and conflict resolution skills.
- Demonstrated planning and coordinating abilities.
- Demonstrated ability to work with minimal supervision.
- Ability to perform the physical demands of the position and maintain good attendance
- Secretary/Medical Office Administration Diploma strongly preferred
- Experience in a mental health environment an asset.
- Experience with Meditech 6.0 strongly preferred
