Operations Coordinator
L1 · Operations Coordinator
The engine behind every product that ships. Precision is the job.
ABOUT LUVIT CREATION
Luvit Creation/People In Biz Corp. is the extended project team of the beauty brands we serve. We take skincare and beauty products from concept through formulation, manufacturing, packaging, and delivery. Our standard is simple: every client should feel "Love it" — in the way we work, in the product we deliver, and in the market where it lives. That standard doesn't hold without operations running exactly right.
THE ROLE
Language requirement: Korean (native or near-native) + English (professional proficiency) — both are required for this role.
A product launch is a milestone. But the real test comes after — when the client's inventory runs low and they need to reorder. No formula development, no lengthy lead times. Just a process that has to run without gaps, every single time. The Operations Coordinator owns that process end-to-end. From the moment a client order comes in, you are responsible for everything that follows: confirming with vendors, managing the production schedule, booking freight, preparing export documentation, and making sure the product arrives on time. Three to four active reorder cycles at any given time, each at a different stage, each with its own timeline and dependencies. This is not a support role. It is a precision role. The brands we serve trust us to keep their products on shelves — and that trust is built or broken at this stage. The quality of your execution directly determines whether clients keep trusting us — or start looking elsewhere.
WHAT YOU'LL DO
– End-to-End Reorder Management: Own the full cycle for every client reorder — from order intake and vendor PO through production scheduling, shipment booking, and final delivery confirmation. You manage the schedule, you track the status, and you know where every order stands at all times.
– Production Schedule Management: Coordinate with manufacturers to confirm production timelines and monitor progress. Factor in lead times, flag delays before they compound, and make sure nothing moves late without a plan to recover.
– Logistics & Export Documentation: Book freight, coordinate with freight forwarders, and prepare all required export documentation — commercial invoice, packing list, Bill of Lading, Certificate of Origin, and any market-specific requirements. Every document, every shipment, without exception.
– Shipment Tracking: Maintain daily visibility on all inbound and outbound shipments. When something shifts — a delay, a discrepancy, a customs issue — you flag it immediately and communicate clearly. Nothing sits unnoticed.
– Execution Team Support: Help the project execution team move faster across active projects — sourcing vendors, gathering supplier and raw material information, collecting regulatory documents, supporting pre-production sample logistics, and receiving and inspecting client-supplied packaging. The scope varies by project stage; what stays constant is the expectation to jump in where needed and handle it completely.
– Sample & Incoming Goods Management: Receive, inspect, log, and store samples and client-supplied materials with full accuracy. Your records are the baseline for quality control and traceability across every order.
WHO YOU ARE
We care less about where you've been and more about how you think:
– You find genuine satisfaction in doing something right every single time — not most of the time.
– You don't skip steps when it gets busy. Process is protection, not bureaucracy.
– You notice when something looks off and you say so immediately — not after hoping it resolves itself.
– Your system is visible. Others can follow your records without asking you to explain them.
– You're reliable in the way that matters: deadlines and handoffs mean what they say.
– You communicate quickly and clearly when something is outside your scope or expectation.
GROWTH & CULTURE
Growth in this role is built on mastery, not time. Here is what the path looks like:
– Start by owning your assigned reorders completely — every step, no gaps, no errors. This is the foundation everything else is built on.
– As your execution becomes reliable, your scope expands: oversight of all active reorders and launch orders across the full project portfolio, and responsibility for making sure the team beneath you runs without mistakes.
– From there, deeper involvement in execution team support and sourcing — vendor research, supplier evaluation, raw material sourcing — becoming a resource the whole team depends on, not just the operations track.

– Comfortable with spreadsheets, shipping trackers, and documentation systems
– Prior experience in operations, logistics, supply chain, or a similar field is preferred
