Position Summary
Reporting to school administration, the Office Coordinator is the first point of contact at RTD Academy’s new North Calgary office. This front-facing role combines reception, administrative support, technology assistance, and the hands-on, day-to-day running of the office space, from ordering supplies to keeping the space clean and well-maintained. The Office Coordinator also represents the school to students, families, and visitors.
Because the new office space is not yet available, this role will begin remotely and transition to in-person and hybrid work once the space is ready. The Office Coordinator will help set up and organize the new office and, as the sole person on-site, works independently to keep it welcoming, organized, and professional. During quieter periods, they support the Registrar with processing student registrations. Diploma writing is the primary function of this location, and the Office Coordinator plays a key role in supporting students during these exam periods.
Key Responsibilities
▪ Serve as the office receptionist and first point of contact, welcoming students, families, and visitors and representing the school professionally.
▪ Provide front-line technology support, assisting students with common hardware, software, and connectivity issues.
▪ Support the Registrar with processing student registrations, ensuring records are complete and error-free.
▪ Assist with exam supervision and preparing the exam space.
▪ Perform administrative duties that support the smooth daily operation of the office.
▪ Run the day-to-day operation of the office, including ordering and stocking supplies and performing light cleaning to keep the space tidy, professional, and welcoming.
▪ Assist with setting up and organizing the new office space, including arranging furniture, equipment, and supplies to prepare it for opening.
▪ Handle student data and records with strict confidentiality.
▪ Contribute creative ideas to improve office processes and the in-person experience for students and staff.
▪ Perform other duties as assigned.
Qualifications
Required
▪ Strong attention to detail and a commitment to accuracy, which is essential for registration and records work, where errors can affect student records and school funding.
▪ Excellent interpersonal and communication skills, with a personable, professional, and welcoming manner.
▪ Ability to work independently with minimal supervision, as this is a single-person environment that begins remotely before moving on-site.
▪ Dependable and reliable, with a strong sense of ownership over the office and its daily operation.
▪ Flexibility and adaptability, including the ability to pivot as priorities shift and to adjust availability, including some evening hours to meet the needs of the school.
▪ Comfort and proficiency with technology, including the ability to assist others with everyday technical issues.
▪ Ability to handle confidential student information with discretion.
Assets
▪ Previous experience running or managing an office, including reception, front-desk, or office administration (a significant asset, as running the office is central to this role).
▪ Experience with student registration, data entry, or records management.
▪ Technical or IT troubleshooting experience.
▪ Strong organizational and time-management skills.
Availability
▪ This role begins remotely and transitions to in-person and hybrid work at RTD Academy’s North Calgary office (exact location to be confirmed) once the new space is ready.
▪ The successful candidate must be available during weekday hours (Monday to Friday). The role is primarily daytime but may include some evening hours as needed, in which case the in-person schedule would be adjusted accordingly. Specific daily start and end times will be confirmed once the Calgary location is operational.
▪ Availability and on-site assistance during scheduled diploma and examination periods are required.
▪ Available to attend scheduled staff meetings, professional development sessions, and other required school activities.
